Job Description

The Workplace Services Coordinator plays a vital role in ensuring the smooth operation of the office environment, focusing on creating a productive and positive experience for employees, visitors, and leaders. This position encompasses a variety of responsibilities, including overseeing office services, managing facilities coordination, supporting events and meetings, and handling vendor management and inventory.

The ideal candidate will have a background in workplace services or office administration, demonstrating strong organizational and time management skills. They will thrive in a fast-paced environment, effectively managing multiple priorities while providing excellent customer service and communication. Proficiency in Microsoft Office applications and experience in coordinating events or workplace operations will contribute to their success in this role.

Location: Toronto, ON (On-Site)

Contract Length: One year

Pay : T4 $ 34.5 / IC$40

RESPONSIBILITIES

  • Maintain a clean, organized, and fully functional office environment to enhance employee productivity.
  • Manage office supplies, kitchen inventory, refreshments, and shared resources to ensure availability.
  • Coordinate with building management, Workplace Services, technology, and facilities teams to resolve workplace issues efficiently.
  • Monitor office conditions and escalate maintenance concerns as required to maintain operational standards.
  • Support the planning and execution of meetings, town halls, leadership sessions, and employee events to foster engagement.
  • Coordinate room bookings, catering, materials, seating, and event logistics for successful event execution.
  • Assist Internal Communications, HR, and business leaders with workplace engagement initiatives to enhance employee experience.
  • Serve as the primary point of contact for workplace-related questions and requests, providing timely assistance.
  • Welcome visitors and coordinate access, hospitality, and meeting arrangements to create a positive first impression.
  • Support onboarding activities, including access card administration and new hire setup, to ensure a smooth transition.
  • Manage incoming mail, courier shipments, package deliveries, and print requests to streamline operations.
  • Maintain workplace systems, including seating management tools, to optimize space utilization.
  • Distribute office and building communications as needed to keep employees informed.
  • Support special projects and other administrative duties as assigned to contribute to overall operational efficiency.
  • Coordinate vendors, suppliers, catering partners, and service providers to ensure quality service delivery.
  • Track inventory levels and place orders as required to maintain necessary supplies.
  • Support workplace health, safety, and emergency procedures to ensure a safe working environment.

QUALIFICATIONS

  • 2-5 years of experience in workplace services, office administration, facilities coordination, hospitality, or a related field.
  • Strong organizational and time management skills to handle multiple tasks effectively.
  • Excellent customer service and communication skills to interact positively with employees and visitors.
  • Ability to manage multiple priorities and work independently in a dynamic environment.
  • Strong attention to detail and problem-solving capabilities to address workplace challenges.
  • Proficiency with Microsoft Office applications to support daily tasks and reporting.
  • Experience coordinating events, meetings, or workplace operations is considered an asset.

TECHNICAL SKILLS

  • Proficiency in Microsoft Office applications.

PREFERRED

  • Experience in workplace services or facilities coordination.
