The Workplace Services Coordinator provides day‑to‑day operational and administrative support to ensure smooth workplace and facility operations across the Bucharest location, supporting both legal entities of Lenovo Romania (RO01 and RO02). The role focuses on coordination, documentation, inventory oversight, and stakeholder support, working closely with the local Facilities Management team and external partners.

Key Responsibilities

Operational & Administrative Support

  • Preparing and managing all import documentation for employees' internal-use orders (employee workstations) for both Lenovo legal entities, PC demo units (including MKCL), and MBG demo units.
  • Acting as the main point of contact for the customs broker, ensuring smooth communication and timely processing.
  • Receiving, registering, and handling goods, including organizing demo stock.
  • Preparing expedition documentation for deliveries to employees, partners, customers, agencies, influencers, and press.
  • Creating and monitoring orders using company internal platforms.
  • Inventory tracking and management of IT equipment.
  • Managing the demo room, including periodic clean-up, equipment rotation, and disposal of outdated units.

Facilities & Site Support

  • Support during local events with chairs/tables reshuffling and any other related preparations for the conference rooms.
  • Support for the local teams for other Romania Site related activities.
  • Assist with space readiness, meeting room setups, internal events, and general workplace coordination as required.
  • Support local vendor coordination for services related to workplace operations, logistics, and maintenance.
  • Assist the Facilities Management team with general on‑site activities and operational tasks as needed.


Customer & Stakeholder Support

  • Deliver a high standard of internal customer service by responding to requests and issues in a timely and professional manner.
  • Collaborate effectively with internal stakeholders, service providers, and vendors to support smooth workplace operations.
  • Act as a reliable local point of contact for operational coordination activities.

Skills, Knowledge & Experience

  • Previous experience in workplace services, facilities coordination, operations, logistics, or administrative support roles.
  • Strong organizational skills with attention to detail and the ability to manage documentation and multiple tasks simultaneously.
  • Basic understanding of inventory coordination, order tracking, and operational processes.
  • Comfortable working with internal systems and standard office tools.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Proactive, reliable, and customer‑focused, with good communication skills.
  • Flexible and adaptable in a dynamic operational environment.
  • Fluency in English and Romanian, both written and spoken.
