We’re looking for a Workplace Services Co-ordinator to join our Workplace Services East Team based in our Fairmilehead Office (Moving to Waverly Court , Edinburgh, EH8 8BG in Autumn 2026), with visits to our other sites. The role provides a comprehensive, customer‑focused Workplace Service that supports the effective day‑to‑day operation of the business
What you'll do
You will be coordinating and responding to customer requests and enquiries, such as replacing printer and photocopier toners, setting up meeting rooms, providing guidance on the use of conference equipment (including laptops, PCs, projectors and video‑conferencing facilities), resolving equipment faults through first‑fix remedies, or arranging supplier service and maintenance visits when required.
The role also supports Health and Safety by delivering building inductions, undertaking Display Screen Equipment (DSE) assessments, managing fire procedures and documentation, arranging fire warden training, coordinating fire tests and drills, liaising with the Fire Service when necessary, and maintaining first aid supplies, notices and certification across offices and depots.
Responsibilities extend to the procurement of goods and services, including IT consumables and stationery, monitoring spend and purchase cards, processing receipts and invoices, closing orders, overseeing contractor performance, conducting cleaning quality inspections, and resolving or escalating local issues appropriately. The post holder coordinates local and non‑project internal moves and supports the Team Leader with project or multi‑site relocations, while maintaining high standards of housekeeping through proactive fault‑finding, building inspections, signage checks, notice board updates and kitchen upkeep.
Additional duties include delivering various Workplace services such as reception, mail handling, deliveries, maintaining recycling facilities, and general operational tasks. The role also supports security systems by issuing and managing ID badges and swipe cards, programming and removing access with appropriate approval, conducting first‑level fault resolution, producing standard reports, and retrieving ID badges for destruction when employees leave Scottish Water.
What you'll need
The role requires an individual with an excellent customer focus, strong communication skills and good organisational ability, supported by proficiency in digital software. A working knowledge of office equipment and an understanding of health and safety practices are desirable, enabling the post holder to deliver effective, safe and customer‑centred workplace services.

The not-so-small print
This role will be a Grade 3. If you’re new to Scottish Water, you’ll join us on a starting salary of £30,030. Performance-driven pay progression would then allow you to move through the range to a maximum of £34,050.
Job offers at Scottish Water are conditional, and will be confirmed on completion of our pre-employment screening, e.g. referencing, criminal record checks, license checks, etc. These checks are conducted on our behalf by a third party.
