Workplace Operations Coordinator (m/w/d)

About the Role

Join JLL as a Workplace Operations Coordinator (m/w/d), where you'll be the heartbeat of our EMEA workplace operations. In this hands-on role, you'll ensure our Munich office runs smoothly day-to-day while supporting our broader EMEA network. You'll be the friendly face visitors see first, the problem-solver employees turn to, and the coordinator who keeps everything from meeting rooms to maintenance running seamlessly. This position offers variety and impact—from welcoming new hires on their first day to coordinating with vendors, managing facilities requests, and supporting events. Occasional travel to other EMEA locations (Dublin, Paris, Brussels, Zurich) adds international exposure to your portfolio.

Key Responsibilities:

Daily Operations & Facilities

  • Conduct daily office walkthroughs to ensure cleanliness and readiness across all areas
  • Ensure meeting rooms are meeting-ready each morning (tidy, stocked, AV checked, whiteboards cleaned)
  • Monitor and replenish office supplies, coordinate deliveries and mail, and report maintenance issues
  • Triage facilities requests through Jira, coordinate vendor works, schedule preventive maintenance, and host vendors on site

Visitor Management & Access Control

  • Act as first point of contact for visitors, candidates, and vendors
  • Register visitors in Visitly, manage badges, welcome arrivals, and escort as needed
  • Liaise with corporate security to process building access and badge requests, coordinate vendor access, and maintain visitor logs in compliance with client security policies

Health, Safety & Compliance

  • Support routine health and safety checks (signage, first aid kits, AEDs, evacuation materials)
  • Track compliance activities including fire drills, PAT testing, and AED inspections
  • Maintain digital records of risk assessments and incidents
  • Be trained in emergency procedures and support Emergency Response Team coordination

Workplace Requests & Communication

  • Respond to workplace queries via Slack, Jira, and email
  • Monitor EMEA workplace channels and route requests appropriately
  • Draft operational communications including office updates and maintenance notices
  • Maintain site knowledge documentation covering procedures, accessibility, and amenities

Meeting Rooms & Space Management

  • Monitor meeting room calendars, resolve booking conflicts, and clear no-shows
  • Configure rooms as requested (layout, AV, refreshments)
  • Maintain meeting room supplies (dongles, markers, batteries, remotes)

Onboarding & Employee Support

  • Track new hire start dates and prepare workspaces
  • Meet new hires on arrival, provide on-site orientation, and support first-day logistics
  • Onboard employees to relevant workplace systems and handle exception cases

Events Support

  • Provide logistical support for approved internal events including room setup, furniture moves, signage, AV readiness, visitor badge preparation, and registration support via Visitly
  • Reset spaces post-event

Reporting & Governance

  • Maintain workplace documentation (playbooks, FAQs, building guides)
  • Prepare weekly summaries covering onboarding, facilities issues, and incidents
  • Report metrics including Jira volumes, SLA performance, and visitor trends
  • Attend weekly EMEA Workplace meetings and comply with all client policies while collaborating with Workplace Operations, Corporate Security, IT, Food teams, and vendors

Qualifications

  • Minimum 2 years of professional experience in workplace coordination, office management, facilities coordination, or a closely related operations role
  • Experience managing or triaging requests through a ticketing or helpdesk system (e.g., Jira, ServiceNow, or equivalent)
  • Experience maintaining digital records, logs, or compliance documentation
