Scope

The Workplace Manager (WM)– India will serve as the lead Corporate Services representative, partnering with the Lines of Business and Corporate Leaders to implement a world-class workplace experience for colleagues, visitors, and clients in the Mumbai and Gurugram offices.

The ideal candidate has a proven track record with the ability to create an environment in which their workplace vendor team is motivated to perform consistently to a high standard; they are collaborative with their peers, clients, business unit partners, Corporate leaders, as well as within their Corporate Services management team; they are supportive, a strong communicator with exceptional stakeholder management skills, confident, organized, and a positive and enthusiastic manager. Regular travel is required.

Responsibilities

The WM:

  • Manages the office budget and day-to-day office operations across both offices, ensuring high standards.
  • Processes office related invoices, deals with invoice queries and liaises with the Global finance team on any issues.
  • Closely manages the vendor relationships and associated services and costs.
  • Works closely with the LOB and local Leadership to ensure they are informed and knowledgeable on crucial office issues.
  • Ensures the ‘social rules’ are clear and employees adhere to them, utilizing minimal signage an is a champion of firm culture.
  • Builds solid relationships with vendors and manages the contracts to ensure service levels are maintained and within budget.
  • Oversees the vendor workplace staff ensuring they adhere to company policy and are supported to perform at their best.
  • Is responsible for site security protocols, security passes, and security-related compliance as well as employee parking on site.
  • Drives sustainability and environmentally friendly initiatives
  • Work with Lines of Business on office space utilization; arranges workplace desk assessments.
  • In conjunction with Corporate Real Estate, manages the ‘tenant’/landlord relationship and is first point of contact for the landlords in both locations and records the interactions as appropriate.
  • Builds a solid relationship with the building management and maintenance teams, including:
  • Actively manages and oversees all maintenance issues across both offices using ServiceNow.
  • Managing and reporting all site issues (heat, air-conditioning, water, electric) to the respective maintenance team to ensure a swift response.
  • Ensuring the workplaces are safe and compliant; regulatory health and safety reporting and training; fire safety, first aid, defibrillator, and evacuation processes.
  • Manages stock inventories across both offices.
  • Ensure waste management services, including recycling, are performed effectively.
  • Follows firm process for the replacement of office equipment and furniture as required.
  • Arranges business cards and orders branded goods through approved vendors.
  • Actively manages the health and safety on-site daily and escalates any unresolved issues to the appropriate firm leadership and the Human Capital team.
  • Is a trained Fire warden and First Aider on site and responsible for ensuring the office has the legal number of trained wardens and first aiders (at any given time)
  • Understands basic food hygiene practices and ensures they are followed on-site.
  • Is responsible for emergency notification and business continuity plan measures.
  • Actively manages and plans employee wellbeing and engagement initiatives in both offices.
  • Manages key onboarding and offboarding tasks.
  • Acts consistent with the firm’s corporate social responsibility agenda.
  • Delivers internal and external events to an exceptional standard.

Basic Qualifications

  • Bachelor’s degree in business, Finance, Hospitality, Office/Facilities Management, Accounting, or Human Capital Management plus 5-8 years of experience or the equivalent.
  • Experience leading a 100+ high pace professional services office.
  • Up to date with industry best practices and trends related to creating a world-class workplace experience.
  • Ability to interpret complex or unique interpersonal relationships.
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Proficient in hospitality and office conference software, Oracle, ServiceNow, and the Microsoft Office product suite.
  • Has a strong knowledge of office, facilities, and conference room requirements and technology.
  • Strong communication and interpersonal skills, with the ability to effectively collaborate with stakeholders across all levels of the organization.
  • Ability to maintain confidentiality and handle sensitive information with utmost professionalism and discretion.
  • Excellent leadership skills (i.e., organizing, planning, problem-solving, and decision-making) necessary for effective management.
  • Well-developed and professional interpersonal skills; ability to interact effectively with people at all organizational levels of the firm.

Preferred Qualifications

  • Previous experience in a Global Firm is required.
