Workplace Host – JLL
What this job involves:
We are seeking a highly organized, proactive, and self-disciplined Workplace Host to deliver a best-in-class workplace experience for our client in Canada. This role is pivotal in supporting meeting and event coordination, executive engagements, and daily workplace operations within a dynamic WeWork environment. You'll serve as a primary point of contact for office culture initiatives, ensuring seamless execution of high-touch client requests while maintaining impeccable service standards. This position requires a "can-do" attitude, strong attention to detail, and the ability to thrive independently in a fast-paced setting.
What your day-to-day will look like:
Execute weekly setup for Sales Meetings, including portable TV configuration, and proactively manage annual recurring conference room bookings
Coordinate offsite meetings for Executives in Toronto, overseeing breakfast and lunch catering, budget coordination, and logistics for All Hands meetings
Monitor office meeting space capacity and proactively book additional WeWork meeting rooms when internal spaces reach capacity
Manage monthly orders for snacks, drinks, and office supplies at the start of each month and fulfill specific client requests as needed
Serve as the primary point of contact for the local Culture Force, supporting office decorations and planning major office events including Summer and Holiday parties
Oversee daily work order review and follow-up to ensure superior customer experience and maintain digital SOP manuals and emergency procedures
Troubleshoot minor IT issues, assist with hardware device collection and shipping, and support basic technical operations including software updates
Required Qualifications:
Minimum 2 years of experience in a workplace, facilities, or hospitality role with strong emphasis on event coordination
Demonstrated commitment to providing excellent customer service with ability to interact across all organizational levels
Strong communication and interpersonal skills with proven ability to handle high-touch client requests professionally
Proficiency in Google Suite and workplace collaboration tools such as Slack or Microsoft Teams
Proven ability to work independently with high self-discipline in a fast-paced environment
Strong organizational skills with ability to manage multiple priorities and deadlines simultaneously
Preferred Qualifications:
Familiarity with the WeWork ecosystem and community management tools
Experience managing guest pass distribution systems and keycard activation/deactivation processes
Background in supporting Employee Resource Group (ERG) initiatives and holiday celebrations
Experience coordinating executive-level meetings and offsite events
Knowledge of basic troubleshooting for AV equipment and meeting room technology
Estimated compensation for this position:
38,000.00 – 42,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
