We are looking for a motivated and organized Working Student (m/f/d) - Administration to support our HQ office with a variety of administrative and organizational tasks. This role offers hands-on experience in office management, event coordination, travel organization, and day-to-day business operations. You will work closely with different teams and help ensure a smooth and efficient office environment.
Office Management & Administration
Support the day-to-day operations of the HQ office
Assist with correspondence, letters, and document preparation
Manage office supplies and coordinate orders when needed
Support filing, record-keeping, and administrative processes
Help maintain accurate administrative documentation and databases
Meeting & Event Support
Assist in organizing internal meetings, workshops, and team events
Prepare meeting rooms, presentations, and materials
Coordinate meeting logistics, invitations, and schedules
Support guests and visitors during office events
Travel & Logistics Coordination
Assist with booking business travel, accommodation, and transportation
Support travel documentation and expense-related administrative tasks
Coordinate logistics for visitors, employees, and external partners
General Business Support
Provide administrative support to different departments and stakeholders
Assist with invoice processing and procurement-related activities
Help coordinate internal communication and office announcements
Support special projects and ad hoc administrative tasks as required
Currently enrolled in a university program, ideally in Business Administration, Management, Economics, Communications, or a related field
Strong organizational skills and attention to detail
Proactive and service-oriented mindset
Good communication and interpersonal skills
Ability to manage multiple tasks in a structured manner
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Fluency in German and English
Must remain enrolled as a student for at least 1-2 additional years
Availability to work 20 hours per week during the semester
