Workforce Operations Coordinator

Position Summary

We are seeking a highly organized and computer-proficient Workforce Operations Coordinator in Covington KY to support daily staffing operations, vendor coordination, new-hire onboarding, and workforce management activities. This role requires strong attention to detail, excellent customer service skills, the ability to work across multiple systems, and the flexibility to manage time-sensitive staffing requirements in a fast-paced client environment.

Key Responsibilities

  • Work proficiently across multiple internal and client systems, including VMS platforms and workforce management tools.
  • Manage iLabor to distribute open requisitions to approved sub-vendors.
  • Track requisition progress, order fulfillment, candidate activity, and vendor performance.
  • Monitor distributed requisitions and ensure sub-vendors meet required deadlines and fulfillment expectations.
  • Ensure all sub-vendors meet the daily cutoff for new starts scheduled for the following day.
  • Create and maintain the daily new-start roster for the client, combining new hires from all staffing agencies.
  • Create and prepare badges for all new employees prior to their start date.
  • Complete new-employee setup within workforce management systems and other client-specific systems as required.
  • Ensure new hires are properly entered, activated, and ready to begin work on their scheduled start date.
  • Monitor and manage daily employee punches and make corrections as needed.
  • Maintain accurate staffing and workforce records across multiple systems.
  • Communicate with vendors, internal teams, and client contacts to resolve issues and ensure timely completion of staffing requirements.
  • Identify discrepancies, follow up on outstanding items, and escalate issues when necessary.
  • Maintain a high level of accuracy while managing multiple priorities and time-sensitive tasks.

Position Requirements

  • Strong customer service skills and a professional, team-oriented approach.
  • Excellent attention to detail and the ability to maintain accuracy in a fast-paced environment.
  • Ability to work effectively as part of a team and communicate with internal teams, clients, and staffing vendors.
  • Basic proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong data entry skills with a high level of accuracy.
  • Strong computer skills and the ability to learn and navigate multiple software systems.
  • Ability to work in a fast-paced, deadline-driven environment while managing multiple priorities.
  • Reliable transportation and the ability to report to the client site as required.
  • Flexibility with work schedule as determined by management to support business and client needs.
  • Ability and willingness to spend time on the client production floor as required.
  • Must successfully complete required criminal background screening and drug screening as a condition of employment.

This individual should be comfortable working with multiple systems, coordinating with staffing vendors, meeting strict daily deadlines, and supporting employees and clients in a fast-paced production environment.

What You'll Do Every Day

This is a hands-on operations role that plays an important part in ensuring staffing needs are fulfilled accurately and on schedule. You will coordinate with multiple staffing vendors, monitor requisition fulfillment, prepare new hires for their first day, manage system setup and badges, and ensure daily workforce records and punches are accurate.
