Job Description

We are seeking a highly organized, analytical, and proactive Workforce Coordinator to support workforce planning, scheduling, and day-to-day resource management. The ideal candidate will have strong analytical and communication skills, with the ability to monitor staffing needs, optimize schedules, coordinate teams, and ensure workforce resources are aligned with business demands.

Responsibilities

  • Coordinate workforce schedules, staffing plans, and resource allocation based on business needs.
  • Monitor staffing levels, workload, attendance, availability, and capacity to identify gaps or overages.
  • Prepare and maintain workforce schedules, forecasts, reports, and staffing trackers.
  • Analyze operational data and workforce metrics to support staffing and scheduling decisions.
  • Coordinate shift assignments, schedule changes, coverage, and time-off requests.
  • Monitor real-time workforce activity and make adjustments when necessary to maintain adequate coverage.
  • Identify staffing shortages, capacity issues, and scheduling conflicts and escalate them appropriately.
  • Collaborate with operations managers, team leaders, HR, and other stakeholders to address workforce requirements.
  • Track productivity, utilization, attendance, service levels, and other workforce performance indicators.
  • Support workforce forecasting and capacity planning activities.
  • Maintain accurate employee, scheduling, and workforce-related records.
  • Prepare regular workforce reports and provide insights and recommendations to management.
  • Assist with onboarding, staffing changes, and workforce-related administrative activities.
  • Identify opportunities to improve workforce efficiency, productivity, scheduling accuracy, and resource utilization.
  • Support the implementation and improvement of workforce management processes and tools.

Required Skills

  • Strong analytical, organizational, and time-management skills.

  • Proficiency with Microsoft Excel, Google Sheets, and workforce management tools.

Requirements

  • Previous experience as a Workforce Coordinator, Workforce Analyst, Workforce Specialist, Scheduling Coordinator, or similar role.
  • Experience with workforce scheduling, staffing coordination, or resource planning.
  • Experience analyzing workforce data and operational performance metrics.
  • Strong Excel or Google Sheets skills, including formulas, data analysis, and reporting.
  • Experience creating and maintaining staffing schedules and workforce reports.
  • Experience coordinating schedule changes, coverage, and resource allocation.
  • Familiarity with workforce management systems and scheduling platforms.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong communication skills and ability to work with employees, managers, and cross-functional stakeholders.
  • Strong analytical mindset and attention to detail.
  • Ability to work independently while collaborating effectively with a team.
  • Reliable internet connection and a suitable setup for remote work.
  • Professional, organized, proactive, and results-driven approach.
