South West Community Care (SWCC) is a local not-for-profit organisation and registered charity providing in-home aged care services across the South West.

Our Purpose: To help older people live safely, independently, and with dignity in the place they love - their own home.

We are governed by a volunteer Board of Governance and led by our Chief Executive Officer, supported by a Chief Operational Officer. Together, they support more than 120 dedicated employees and volunteers who deliver care throughout the region. Position Purpose

Reporting to the Operations Manager, the purpose of your role is:

Responsible for the effective day-to-day coordination of the care workforce to support the safe, responsive and efficient delivery of in-home aged care services. Reporting to the Operations Manager, the role works closely with scheduling and service delivery teams to coordinate workforce availability, capacity and deployment, respond to operational issues and changing service requirements, and support continuity of care. The role exercises initiative and judgement to resolve day-to-day workforce matters, provide operational guidance and support to Care Workers, monitor workforce performance and requirements, and escalate complex, higher-risk or formal performance matters to the Operations Manager as appropriate.

Position Responsibilities

As a Workforce Coordinator you will be responsible for and assisting with:

• Coordinate and oversee the day-to-day operational requirements of the care workforce, exercising initiative, judgement and problem-solving to maintain an appropriately skilled, capable, available and responsive workforce and ensure compliance with relevant aged care requirements and organisational policies, standards and procedures.
• Participate in the recruitment, selection, induction and onboarding of Care Workers, providing structured guidance, coaching and support to promote effective integration, capability, engagement and retention.
• Monitor and assess Care Worker performance, capability and safe work practices, including through regular field-based observation and assessment. Evaluate employees against the skills, knowledge and behavioural requirements of their role, provide feedback and coaching, address identified concerns within delegated authority and escalate complex or formal performance matters to the Operations Manager.
• Coordinate the ongoing training, development and capability building of Care Workers, identifying individual and workforce development needs and providing or facilitating on-the-job training, coaching and mentoring. Support employees to access relevant development and career pathways and follow up development activities to ensure required skills and knowledge are demonstrated in practice.
• Support workforce planning, attraction, engagement and retention initiatives, identifying emerging workforce requirements, capability needs, trends, gaps, risks and opportunities and recommending practical responses in conjunction with the Operations Manager and relevant stakeholders.
• Monitor workforce availability, utilisation and capacity and coordinate workforce deployment, working collaboratively with scheduling and service delivery teams to proactively respond to workforce shortages, capability requirements, availability constraints and service pressures to support continuity and quality of care.
• Act as a key operational point of contact for Care Workers and relevant internal teams, independently resolving day-to-day workforce matters through effective communication, judgement and problem-solving. Coordinate toolbox meetings and workforce engagement activities to communicate operational priorities, reinforce expectations, provide guidance and ensure agreed actions are followed up.
• Promote and support compliance with SWCC's Work Health and Safety framework, identifying and responding to hazards, risks and unsafe work practices, supporting agreed controls and coordinating operational WHS follow-up. Support injury management and return-to-work arrangements in conjunction with the Employee Engagement Officer and relevant stakeholders.
• Maintain accurate workforce records and reporting relating to workforce capacity, availability, utilisation, performance, capability, training and compliance to support workforce planning and continuous improvement, and participate in the on-call roster to provide timely after-hours operational support and escalate significant incidents or risks in accordance with organisational procedures.
• Participate in the on-call roster, exercising judgement to provide timely after-hours operational support.

To thrive in this role you will have:

• Diploma-level qualification in Community Services, Business, Leadership and Management or a related discipline, and/or demonstrated relevant experience in workforce coordination, community services, aged care or a comparable operational service delivery environment.
• Demonstrated understanding of, or ability to rapidly develop knowledge of, the requirements of delivering safe, compliant and client-focused services in an aged care, community care or similarly regulated service environment.
• Demonstrated experience supporting the day-to-day coordination of a dispersed workforce, with the ability to build effective working relationships, communicate expectations clearly and work collaboratively with employees, operational teams and other stakeholders.
• Demonstrated experience receiving, documenting and responding appropriately to workforce or service-related issues, feedback and complaints, including identifying matters requiring escalation, maintaining confidentiality and supporting timely resolution.
• Demonstrated ability to organise and prioritise competing demands in a fast-paced operational environment, respond effectively to changing workforce requirements and meet deadlines while maintaining accuracy and attention to detail.
• Well-developed written, verbal, listening and interpersonal communication skills, including the ability to communicate professionally and respectfully, manage sensitive or challenging conversations and adapt communication to different audiences.
• Demonstrated analytical and problem-solving skills, including the ability to identify workforce or operational issues, gather and assess relevant information, determine appropriate action within delegated authority and escalate more complex matters when required.

Office Base Location

Based at the Australind Office but will be required to work from other sites.
