About the Job
At Q2 HR Solutions, we are looking for a Workflow Specialist to design, document, and optimize business processes across all divisions. This role is key in ensuring process standardization, ISO 9001 readiness, and operational efficiency through structured documentation and workflow automation. The ideal candidate is highly analytical, detail-oriented, and experienced in process mapping and cross-functional collaboration.

Key Responsibilities

  • Design, document, and maintain end-to-end workflows, SOPs, and QMS documentation
  • Conduct SME interviews to extract and structure processes across divisions
  • Develop process maps (e.g., swimlane, BPMN) using tools like Visio or draw.io
  • Ensure alignment, integration, and standardization of processes across departments
  • Support ISO 9001 certification readiness, including documentation and audit preparation
  • Maintain centralized documentation repository with version control (SharePoint)
  • Identify and implement workflow automation using Microsoft 365 tools (Power Automate, Forms, etc.)
  • Define KPIs and track process performance and efficiency
  • Identify bottlenecks and recommend process improvements
  • Facilitate cross-functional discussions to resolve process gaps and drive alignment

Qualifications

Education

  • Bachelor's degree in Industrial Engineering, Business Administration, Information Systems, or related field (preferred)

Experience

  • At least 3 years of experience in process documentation, workflow design, or similar roles
  • Experience in ISO 9001 or QMS environments is a strong advantage
  • Experience working with cross-functional processes and process improvement initiatives

Technical Skills

  • Proficiency in process mapping tools (Visio, draw.io)
  • Strong technical writing and documentation skills
  • Experience with Microsoft 365 tools (SharePoint, Forms, Teams)
  • Experience with workflow automation tools (Power Automate)
  • Familiarity with reporting tools (e.g., Power BI) is an advantage
