General Summary

The Wildwood Events Coordinator supports the Sr Manager, Marketing Partnerships & Experiences and the Sr Wildwood Events Producer with administrative assistance and event planning for the Wildwood theatrical release campaign. 

*This will be a temporary 10-month position.

Job Functions

  • Facilitate agenda preparation, note-taking, and follow-up tracking for meetings with external partners, agencies, and vendors.
  • Organize shared team files, data, and marketing assets in Microsoft SharePoint.
  • Update and maintain relevant project details in project management software (i.e., Airtable, ShotGrid).
  • Provide coordination support across events, brand activations, partnerships, and related initiatives.
  • Maintain operational support for various projects by handling scheduling, travel bookings, event logistics, and expense reports.
  • Facilitate communication with external partners, agencies, and vendors, and manage related administrative needs including invoicing, billing, scheduling, and calendar coordination.
  • Assist with on-site event operations, providing administrative and logistical support during live events, as needed.

Qualifications

  • 2 - 3 years of relevant work experience in administrative support, coordination, or event management.  
  • Strong organizational skills with the ability to multi-task, prioritize, and thrive under pressure while meeting deadlines in a fast-paced environment.  
  • Data entry and database management experience; accounting and invoicing experience preferred.
  • Strong creative problem-solving and critical thinking skills.
  • Excellent written and verbal communications skills with the ability to interact with internal departments and external partners, agencies, and vendors while demonstrating a high degree of professionalism.
  • Ability to work both individually and collaboratively.
