Pay: $17.04 per hour

Work Schedule: Generally, Monday-Friday 8:00am-5:00pm,Staff rotate one evening a week & work 9:30am - 6:30pm

The Women, Infant, and Children’s (WIC) Administrative Support II position works to meet the mission of the Sedgwick County Health Department by carrying out one-on-one personalized assistance and coordination for WIC services. This position rotates through three primary WIC areas; clinic front desk, gathering client’s medical data and the WIC call center. The position also determines the client income eligibility, and issues the client’s food benefits. This position requires a thorough knowledge of WIC program policies and procedures. Employee will provide support during public health emergencies (Activation Level 1).

Customer Service and Outreach Support

  • Welcome and assist internal and external customers
  • Follow policies, procedures and workflows
  • Identify and clarify client needs, research issues, and provide program education to assist clients in the understanding of how WIC works
  • Refer and document community referrals
  • Schedule, reschedule, cancel and send reminders for client appointments Manage email inboxes and faxes; monitor and respond to requests
  • Rotates through three primary areas: clinic front desk, performing medical data, and call center
  • Gather clients medical data: includes taking heights/lengths, weights and using a lancet to draw a finger poke blood sample for hemoglobin and lead tests for women, infants and children ages 1 to 5
  • Issue food benefits
  • Provide guidance, and document the clients’ secondary nutrition education appointment contact
  • Promote breastfeeding, including providing education and referrals to address mother’s needs; handle return of breast pumps
  • Manage supply inventories of office, including printing materials and medical supplies
  • Provide WIC outreach: mailings and in-person events
  • Manage incoming client referrals from IRIS software
  • Screen immunization records to ensure up-to-date status
  • Distribute and collect surveys for WIC services
  • Meet program client contact productivity standards
  • Follow and document HIPAA regulations and WIC confidentiality
  • Provide and discuss voter registration/declination with client and interoffice voter form to County elections office
  • Reports and provides written documentation to supervisor on client complaints

Documentation and Recordkeeping

  • Complete data entry for clients(demographic information and other program software fields)
  • Verify and document insurance and/or income eligibility/verification of client proofs
  • Provides client appointment letters
  • Complete monthly reports, including information for no-show appointments, certifications ending, and no-show/ no-reschedule
  • Assists with record/file management by boxing charts for storage
  • Complete personal WIC daily hours report

WIC Call Center

  • Schedule, reschedule, and answers client questions over the phone
  • Mails next appointment letters
  • Communicates by email with site supervisors on clients needing a return phone call or additional information
  • Prepare and send verification of certification for out of state transfers

Minimum Qualifications: High School Diploma or equivalent. One year of experience in customer service, office administration, or a related field. Must complete Federal Emergency Management Administration (FEMA) IS 100 and 700 courses within 30 days of employment.

Preferred Qualifications: Two years of experience in customer service, office administration, or a related field. CNA, CMA, MA, HHA. Bilingual in English and Spanish.
