Title: Director of Wholesale Operations

Classification: Exempt

Salary Range* $120,000.00- $130,0000/annualized

Location: Los Angeles, CA

Schedule*: Hybrid, Monday through Friday 9:00AM-5:30PM

DÔEN is looking for a dynamic and experienced Wholesale Operations Director to join our growing team in Los Angeles. The Wholesale Operations Director will work closely with our Operations and Sales teams to streamline Wholesale Operations.

Essential Duties and Responsibilities

  • Wholesale Operations and Order Management
  • Drive process automation and systems optimization.
  • Responsible for oversight and management of Wholesale Operations.
  • Drives business results by supporting our sales teams to ensure we can fulfill all wholesale orders
  • promptly and effectively.
  • Manages open order reports with eta’s, ensures the Wholesale team is meeting ship windows
  • effectively.
  • Responsible for NetSuite Order management: Order Entry, Order Updates/Style/Color updates.
  • Manages the process of order validation to account for all potential discrepancies across
  • inventory, pricing, and timelines.

Team Leadership and Development

  • Partner with leadership on growth planning.
  • Perform quarterly reviews for the Wholesale team; has the authority to make recommendations regarding the advancement or promotion of the Wholesale team.
  • Actively participates in the hiring process of Wholesale Team, managing the team, and approving both time off requests and timesheets.

Cross Functional Alignment

  • Sets and communicates customer service priorities with partners.
  • Supervises new account onboarding to ensure all customer requirements are understood by and met by cross functional teams. (i.e., Routing Guides).
  • Collaborates with the Sales team and Logistics team to maintain all contracts and shipping guidelines.
  • Partners with the Finance and Production team to complete various vendor forms related to product info (Vendor set-up, sustainability requirements, product testing and attributes).
  • Partners with cross functional departments to create effective databases to manage and organize
  • KPIs and reports to be presented to leadership.
  • Responsible for partnering cross functionally with Wholesale Consultant and Associate Account
  • Executive on account priorities; and partnering with the warehouse on corresponding allocation and fulfillment.
  • Responsible for partnering with Production and Logistics teams on open order summary reporting with ETA updates, shipping plans and extension and/or early ship updates to Sales.
  • Work cross-functionally to problem solve, address technical issues, streamlining internal resources and processes

Systems Management and EDI (Integrations)

  • Supervises account set-up, works closely with the Operations team on EDI integration(s), order validation, inventory, and fulfillment for our domestic and international wholesale partners.
  • Responsible for overseeing all EDI entries, processing, and communication through EDI system and NetSuite.
  • Ensures accuracy of shipments and documentation for outgoing domestic and international shipments, including all EDI shipments.
  • Manages non-direct wholesale platforms (ie: VEX for Net-a-Porter) will include shipping documentation and prep, related shipping approvals and management of trackers /system updates with POD, tracing info etc.
  • Oversight and management of payment requests, credit card processing and invoicing for customers not managed through factor.

Reporting and Business Insights

  • Responsible for maintaining and generating thorough sales and inventory reports daily, weekly, and monthly.
  • Manages and supervises drop-shipping SLAs, ensuring reporting, ensuring compliance, tracking and communication of dropship performance and metrics.
  • Responsible for big picture oversight and reporting related to monthly revenue targets specifically related to shipping targets, in addition to end of month fulfillment summary.
  • Optimizes and streamlines our Wholesale Operations for maximum efficiency, flexibility, and scalability.
  • Other tasks are assigned as needed to support business needs

Qualifications and Skills:

  • 5 -7 years Wholesale experience.
  • 3 years’ experience with major retailers is a plus (Nordstrom, Saks, Net-a-Porter).
  • Must have ERP experience.
  • Experience managing a 3PL.
  • Team size managed.
  • Systems implementation or transformation experience.
  • Attention to detail and knowledge of our product.
  • Able to prioritize and manage multiple tasks efficiently.
  • Strong team-player, hardworking and self-motivated.
  • Strong attention to detail, organizational and time management skills.
  • Ability to work independently and in a team environment.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Ability to thrive in a challenging, fast paced, and dynamic team environment.
  • Exceptional time management and follow up skills.
  • Advanced experience with Excel, Google Sheets, understanding of pivot tables, VLOOKUP, and other key functions.
  • Strong analytical skills.

Physical Requirements:

  • Must be able to perform essential duties satisfactorily with reasonable accommodation.
