Wealth Planning Officer

We are seeking an experienced and client‑focused Wealth Planning professional to join our growing Jersey team. In this role, the successful candidate will be the first point of contact, providing seamless support to the Wealth Planning team. Their work will help deliver outstanding client outcomes while ensuring strict adherence to company processes and compliance standards.

Key Responsibilities

Administrative Support
  • Meet the Company’s documentation standards, demonstrating high standards of accuracy
  • Support the Wealth Planners in submission of cases to the Client Services team
  • Deal with finance queries including invoices, billing, WIP, commissions, etc.
  • Produce accurate Service Agreements
  • Provide support to the Wealth Planners by attending client meetings, dealing with any administrative work for clients and ensuring all client data provided is recorded on XPlan, or equivalent CRM system, and any other associated systems.

Client Support
  • Support the Wealth Planners’ workflow by efficient co-ordination of central services such as paraplanning, valuations, business processing etc.
  • Prepare and submit CDD and new account paperwork for client onboarding, following the Company’s AML process and procedures
  • Process new business for clients in a timely manner, ensuring all information provided is accurately reflected in the application paperwork and any other associated systems are updated
  • Arrange client meetings, valuations, meeting packs and assist as appropriate with the Wealth Planners’ diaries
  • Complete any required post-meeting actions and minutes
  • Be a first contact point for clients to handle general queries, escalating complex queries to the Planner, adapting your approach for clients in vulnerable circumstances
  • Meet and greet clients at respective locations
  • Handle client correspondence and post
  • Prepare letters of authority for signing
  • Prepare client application forms in line with suitability report recommendations, ensuring they are actioned when returned by the client within business agreed timeframes and with accuracy
  • Accurately create and maintain XPlan, or equivalent CRM system, and any associated client records

Skills, Knowledge and Expertise

Technical/Qualifications
  • A solid educational background with at least 5 GCSEs grade C/4 or above, or equivalent or relevant work experience
  • A keen interest in Wealth Planning
  • Knowledge of Financial Planning products (preferable) and full understanding of the end-to-end Financial Planning process or ability to gain.

Systems/Internal Processes
  • Good IT Skills including Microsoft Office Package and CRM database system
  • Ability to gain knowledge of Planning procedures and processes
  • Ability to become proficient in systems including; XPlan, Voyant, Avaloq, Pharos, and cashflow planning software.

Regulatory Awareness/Compliance
  • A good understanding of all relevant policies that relate to your role and responsibilities
  • A good understanding of financial regulations in the Jersey and to keep abreast of regulatory changes and market practice to ensure that all dealings on behalf of clients are following all relevant rules and regulations
  • Escalate areas of concern or issue in a timely manner.
