Job Description

This position provides administrative and operational support to Wealth & Fiduciary Advisors and their clients within the Wealth Management Division. This role ensures accurate and timely execution of fiduciary and wealth management processes while maintaining the highest standards of confidentiality and client service. The position involves direct client communication and collaboration with internal teams to deliver exceptional service.

Responsibilities

  • Account Administration & Operations
  • Prepare and process new account and closed account documentation in compliance with internal policies and regulatory requirements.
  • Coordinate with Wealth Operations to onboard accounts and facilitate asset transfers.
  • Execute daily account transactions, including deposits, bill payments, ACH/wire transfers, and internal/external transfers.
  • Complete initial and annual administrative account reviews; identify and resolve exceptions.
  • Client & Advisor Support
  • Serve as primary support for Wealth & Fiduciary Advisors.
  • Communicate professionally and promptly with clients, colleagues, and external partners.
  • Provide assistance with the Total Wealth online platform and respond to client inquiries.
  • Prepare account summaries, planning reports, and memos for committee meetings (WMAC and Steering Committee).
  • Process net income distributions to beneficiaries per trust agreements.
  • Compliance & Standards
  • Maintain compliance with IRS, FDIC, and state regulatory requirements, as well as fiduciary and audit standards.
  • Stay current on document retention standards and ensure adherence to internal policies and procedures.
  • Perform notary and Medallion Signature Guarantee services.

Education, Experience, and Other Expectations

  • Bachelor’s Degree in Accounting, Finance, or Business Administration; or equivalent working experience.
  • 2-4 years of relevant experience.
  • Experience in the financial industry, preferred.
  • Willingness to pursue continuing education (travel may be required).

Knowledge, Skills, and Abilities

  • Knowledge of accounting practices and tax reporting for securities, real estate, and closely held entities preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication skills (written, verbal, interpersonal).
  • Proficiency in Microsoft Office Suite and willingness to learn specialized software (OneSource, SEI, Salesforce, Nautilus).
  • Ability to manage multiple priorities with attention to detail.
  • Commitment to confidentiality and professional conduct.
