Job Description

The Warranty Specialist is responsible for managing warranty claims, ensuring compliance with Heavy Equipment OEM warranty programs, and supporting internal teams with warranty-related processes. This role requires strong attention to detail, organizational skills, and the ability to interpret technical information to process claims accurately. The Warranty Specialist will collaborate closely with service departments, maintain thorough documentation, and navigate both OEM and internal systems to ensure efficient claim handling and resolution.


Key Responsibilities:

  • Develop a thorough understanding of warranty program rules and requirements for various OEMs.
  • Support service departments by providing guidance on warranty program policies and compliance.
  • Learn and navigate internal company systems to ensure accurate warranty processing.
  • Apply warranty guidelines and technical information to service invoices for warranty claim development.
  • Utilize OEM warranty systems to enter and process warranty claims efficiently.
  • Maintain organized records, including claim tracking spreadsheets and supporting documentation.
  • Process warranty credit memos and checks to reconcile and settle invoices.
  • Perform additional tasks and responsibilities as assigned to support department operations.

Requirements

  • Experience and/or Education: High school diploma or equivalent required. Prior supervisory experience overseeing technical or parts staff in heavy equipment preferred.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Familiarity with OSHA, MSHA, and Ascendum Machinery safety regulations and job site best practices.
  • Strong understanding of heavy equipment parts and machinery, with the ability to troubleshoot and support servicing needs.
  • Strong mechanical knowledge and aptitude for diagnosing and resolving equipment issues.
  • Strong organizational skills with a focus on accuracy, documentation, and adherence to procedures.
  • Excellent verbal and written communication skills. Ability to handle sensitive information with professionalism and confidentiality.
  • Strong interpersonal skills with a friendly and approachable demeanor. Customer-oriented mindset, with a commitment to delivering exceptional service and fostering relationships.
  • Ability to work independently with minimal supervision while also contributing effectively in a team environment. Demonstrates initiative, enthusiasm, and a proactive approach to completing tasks.
  • Capable of managing multiple priorities in a deadline-driven environment while maintaining efficiency and accuracy.

PHYSICAL DEMANDS:

  • While performing this job, the employee is regularly required to talk or hear.
  • The position requires the ability to sit, stand and walk for long periods.
  • This position requires the ability to stoop, bend, climb and crawl without restrictions.
  • The position requires the ability to occasionally lift up to 15 pounds.
  • Must be able to safely operate and drive a vehicle to meetings and events.
