About the Opportunity

We are looking for a detail-oriented and proactive Warranty Coordinator to join our team. In this role, you will manage the full lifecycle of warranty claims, ensuring claims are submitted accurately, resolved efficiently, and optimized for maximum recovery.

Working independently, you will collaborate with branches, service teams, suppliers, and internal stakeholders to resolve complex warranty issues, improve claim outcomes, and drive continuous improvement across warranty processes.

This position is ideal for someone who enjoys problem-solving, analyzing data, influencing stakeholders, and taking ownership of results.

What You'll Do

Warranty Claim Management

  • Manage warranty claims from submission through final resolution across assigned branches or product lines
  • Ensure claims are complete, accurate, and meet manufacturer and supplier requirements
  • Monitor and resolve outstanding, rejected, or disputed claims
  • Improve claim acceptance rates and recovery outcomes while reducing rework and delays
  • Track claim progress and follow up with suppliers to ensure timely responses

Problem Solving & Decision Making

  • Interpret warranty policies and guidelines to determine claim eligibility
  • Resolve complex or escalated warranty issues independently
  • Investigate claim discrepancies and recommend appropriate solutions
  • Assess risks and determine the best course of action in situations where guidelines may be unclear

Stakeholder Support & Guidance

  • Act as the primary contact for warranty-related inquiries
  • Provide guidance on warranty eligibility, documentation requirements, and submission best practices
  • Partner with service teams and branch personnel to improve warranty performance
  • Share knowledge and support team members through informal coaching and collaboration

Analysis & Continuous Improvement

  • Analyze warranty data to identify trends, recurring issues, and opportunities for improvement
  • Investigate root causes impacting claim acceptance and recovery rates
  • Recommend and implement process improvements to increase efficiency and accuracy
  • Support standardization and continuous improvement initiatives across warranty operations

Warranty Operations

  • Maintain accurate warranty records and supporting documentation
  • Support warranty registration, pricing updates, and system maintenance activities
  • Utilize systems such as M3, Salesforce, SIS, and SIMSi to manage claims and performance reporting
  • Coordinate tracking and follow-up activities with suppliers and internal stakeholders

What We're Looking For

Qualifications

  • 2-4 years of experience in warranty administration, service operations, or a related field
  • Strong understanding of warranty processes, policies, and service operations
  • Experience working with ERP and warranty management systems such as M3, Salesforce, SIS, or SIMSi
  • Strong analytical and problem-solving abilities
  • Ability to work independently and manage multiple priorities in a fast-paced environment
  • Excellent communication and stakeholder management skills
  • Proficiency with Microsoft Office applications, including Excel
  • Experience identifying trends, improving processes, and driving operational efficiencies is considered an asset
