Job Description
Warranty Accounting Clerk at Kenwood Dealer Group
4780 Socialville Foster Road, Mason, Ohio 45040
About the role
Kenwood Dealer Group is bringing its manufacturer warranty receivable administration in-house, into our centralized accounting office. This role owns the back-office side of warranty: making sure every warranty repair we perform is billed correctly, paid in full by the manufacturer, posted accurately, and cleared off the schedule — across all of our rooftops. It is an accounting and reconciliation role, not a service-drive role; the warranty administrators at each store continue to submit and code claims, while this position owns the receivable, the reconciliation, and the recovery of every dollar owed to us.
Warranty work is real gross profit, and it sits on our books as a receivable from the moment a claim is submitted until the manufacturer pays. This person is the reason that money gets collected instead of aging out.
What you’ll own
- Warranty schedules: reconcile each store’s warranty receivable schedule monthly (with a weekly touch), confirming every open item is a valid, collectible claim.
- Posting payments: post manufacturer credit memos and warranty payments in CDK and clear paid claims against the receivable.
- Journal entries: prepare and route adjustments, short-pays, and write-offs for approval by store service/parts managers and controllers before posting.
- Claim aging: monitor aging across all stores and flag claims approaching their OEM submission and appeal windows so they get reworked and resubmitted before they age out.
- Exception follow-up: track kicked-back and exception claims at the group level and drive them to resolution with the stores.
- Recovering full value: identify under-paid claims and coordinate resubmission to capture full claim value, and help reduce audit chargeback exposure through documentation review.
- Month-end: reconcile warranty receivables to the general ledger and to manufacturer statements at each close.
- Reporting: produce a monthly warranty receivable report — open balance, aging, recovery rate, and write-offs — for the controllers and CFO.
- Point of contact: serve as the central liaison between store warranty administrators, service and parts managers, and the accounting office on all warranty receivable matters.
Required qualifications
- 2+ years in dealership accounting or warranty administration, or comparable accounts-receivable reconciliation experience.
- Hands-on experience with a dealership DMS — CDK Global strongly preferred.
- Working knowledge of manufacturer warranty claim processes and how claims are paid.
- Strong account reconciliation and journal-entry skills; comfortable working schedules and aging.
- High attention to detail and the persistence to chase open items to resolution.
- Solid Excel skills.
Preferred qualifications
- Multi-rooftop or dealer-group experience.
- Exposure across multiple franchises (Toyota, Ford, Subaru, Volkswagen, Kia, CDJR, Mazda, Lincoln).
- Familiarity with OEM warranty submission systems and labor/defect coding.
- Direct experience reconciling warranty receivable schedules.
Who you’ll work with
You’ll partner daily with the warranty administrators and service and parts managers at the stores, and report to the controller team in the centralized office, with visibility to the CFO through the monthly warranty receivable report.
