Summary

The City of Richmond Police Department is seeking a highly organized and detail-oriented individual for the position of Warrant Terminal Specialist to provide administrative support to the Warrant Services Unit (WSU). The successful candidate will be able to multi-task and perform in a fast-paced environment, while supporting various levels of agency personnel and assisting a diverse public customer base. The ideal candidate will have excellent verbal and written communication skills and possess excellent customer service capabilities.

The anticipated hiring range is $45,285 - $55,968

Examples of duties

  • Enter, update, modify, validate, and maintain warrants, protective orders, and related legal records in applicable local, state, and federal law enforcement systems.
  • Review legal documents for accuracy, completeness, and compliance, verifying identifying information, charges, case numbers, dates, and other required data.
  • Monitor warrant status and maintain accurate electronic and physical records, logs, and tracking systems.
  • Generate reports and documentation related to warrants, protective orders, and unit operations.
  • Coordinate with law enforcement agencies, courts, officers, and other authorized entities regarding warrants, protective orders, and related legal processes.
  • Provide timely notification of new, modified, served, recalled, or otherwise updated warrants and court orders.
  • Respond to authorized inquiries and provide administrative and operational support to Warrant Services personnel and other stakeholders.
  • Process and maintain records in accordance with applicable laws, policies, procedures, and local, state, and federal criminal justice information requirements.
  • Safeguard confidential and sensitive criminal justice information and ensure appropriate access, dissemination, and record security.
  • Research records and applicable procedures to resolve discrepancies and ensure accurate processing of legal documents.
  • Perform quality-control reviews to identify and correct data-entry errors, incomplete records, and discrepancies.
  • Assist with audits, records validation, policy and procedure updates, and process-improvement initiatives.
  • Maintain required documentation, forms, supplies, and other resources necessary for unit operations.
  • Assist with onboarding and training employees in warrant-processing procedures, database systems, documentation requirements, and unit protocols.
  • Provide guidance and technical assistance to staff regarding established procedures and record-processing requirements.
  • When assigned, review work for accuracy and assist with coordinating daily administrative activities.

This position requires working shift hours, which includes weekends and evening. Overtime may be required as well.

This position is considered ESSENTIAL PERSONNEL, and the incumbent must be available to report to work during disasters, inclement weather, and other declared emergencies.

Successful completion of a thorough background investigation is required. Please note that the Police Department background process may take up to 45 days. An applicant disqualified from the Police background process may reapply a year after disqualification.

Qualifications

Considerable knowledge of law enforcement records, criminal justice information systems, and procedures governing warrants, protective orders, court documents, and confidential criminal justice information. Demonstrated skill in accurately reviewing, entering, modifying, validating, and maintaining legal records; identifying and resolving discrepancies; conducting records inquiries; and effectively communicating with law enforcement officers, courts, and other criminal justice agencies. Demonstrated ability to work independently in a fast-paced, 24-hour law enforcement environment; manage multiple time-sensitive priorities; exercise sound judgment; maintain strict confidentiality; and process information accurately under pressure. Must be able to obtain and maintain required certifications and system access, including applicable VCIN/NCIC certification and compliance with Virginia State Police and FBI CJIS requirements.

MINIMUM TRAINING AND EXPERIENCE:

  • High School Diploma or GED
  • Three years of related clerical or office support experience
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification

LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:

  • Some assignments may require a valid driver’s license with a satisfactory driving record and a valid Commonwealth of Virginia driver’s license within 30 days of hire.
  • Knowledge of VCIN/NCIC requirements and the necessary guidelines for warrant and court document entries.
