Job Description

The Warehouse Sr Supervisor is a newly created, cross-functional role designed to solve one of our most critical operational challenges: the high-velocity, high-pressure flow of materials through a constrained internal warehouse environment. This individual will own end-to-end material flow— from external warehouse receipt, through Incoming Quality Control (IQC) inspection, to timely delivery to Production — while simultaneously driving systemic process improvements and supporting financial audit requirements.

This is a highly visible, high-impact position that requires a proactive communicator, a structured problem-solver, and someone comfortable operating under organizational pressure with urgency and ownership.

KEY RESPONSIBILITIES

Material Flow Planning & Execution

  • Design and implement demand-driven material flow strategies that account for production schedules, warehouse capacity, inspection lead times, and incoming shipment volumes.
  • Monitor and proactively adjust daily/weekly material movement plans to prevent stockouts or bottlenecks at any stage of the flow.
  • Prioritize material releases from the external warehouse to internal storage based on urgency, IQC queue status, and production demand.
  • Coordinate with Production to align material availability with manufacturing schedules, reducing emergency expedites and unplanned line stoppages.

Cross-Functional Coordination

  • Partner with IQC to anticipate inspection workloads and negotiate inspection prioritization for critical or urgent materials.
  • Collaborate with Purchasing to flag potential supply gaps, urgent purchase requirements, and inbound shipment status.
  • Escalate and communicate material flow risks proactively to relevant stakeholders and leadership.
  • Support the development and enforcement of SOPs to reduce recurring receiving issues.
  • and Logistics on export scheduling to minimize delays and ensure on-time shipments.

Inventory Management & Financial Audit Support

  • Maintain accurate inventory records across all stages (external warehouse, internal storage, IQC hold, and production floor).
  • Support Finance and Internal Audit teams during inventory audits, cycle counts, and periodic physical inventory reviews by providing accurate documentation and transaction traceability.
  • Identify and report inventory discrepancies and collaborate in corrective action plans.

Process Improvement

  • Identify bottlenecks, inefficiencies, and recurring failure points in receiving, material transfer, IQC flow, and finished goods export processes.
  • Lead or participate in continuous improvement initiatives (Lean, Kaizen, or similar methodologies) to optimize throughput within constrained warehouse conditions.
  • Develop and track KPIs related to material flow (e.g., time-in-IQC, transfer lead times, receiving discrepancy rate, on-time delivery to Production).

Team Leadership

  • Ensures warehouse is properly staffed on all active shifts to support manufacturing effectively.
  • Facilitates and provides coaching and training to team members to ensure they can perform efficiently their duties
  • Owns warehouse efficiency and effectiveness KPIs.
  • Other functions and projects assigned.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in Supply Chain Management, Industrial Engineering, Business Administration, or a related field. Equivalent experience considered.
  • 5+ years of experience in materials planning, supply chain coordination, or warehouse operations — preferably in a regulated manufacturing environment (medical devices, pharma, aerospace, or similar).
  • Proven experience coordinating cross-functional workflows with QC, Purchasing, and Production teams.
  • Proficiency with ERP systems (SAP, Oracle, or similar) and intermediate-to-advanced skills in Microsoft Excel for data analysis and planning tools.
  • Demonstrated ability to work under pressure in a fast-paced, high-volume environment with competing priorities.
  • Strong communication skills in Spanish and English (written and verbal) to interface with all organizational levels.
  • Solid understanding of inventory control principles and experience supporting internal or external audits.

PREFERRED QUALIFICATIONS

  • APICS CPIM or CSCP certification (or in progress).
  • Experience in FDA-regulated environments (21 CFR Part 820 or ISO 13485).
  • Familiarity with Lean Manufacturing, 6S, or Six Sigma methodologies.
  • Experience with import/export documentation and customs compliance.
  • Background working with WMS (Warehouse Management Systems).

KEY COMPETENCIES

  • Structured under pressure — able to maintain planning discipline during peak demand and emergency scenarios.
  • Systems thinker — understands how decisions in one area cascade across the supply chain.
  • Proactive communicator — surfaces risks early and engages stakeholders before problems escalate.
  • Process ownership mindset — drives improvements without waiting to be asked.
  • Data-driven — uses metrics and root cause analysis to inform decisions.

WORKING CONDITIONS

  • On-site position with regular time split between office planning work and warehouse floor presence.
  • Exposure to warehouse environment: variable temperature, noise, and material handling equipment.
