As part of the Lockwood Group, William West & Sons is looking for an organised, approachable and proactive Warehouse Operations Administrator to join our busy operations team.

This is a varied role at the heart of our day-to-day warehouse operation. Acting as a key point of contact for drivers, visitors and contractors, you'll combine front desk responsibilities with essential operational administration, helping to ensure inbound deliveries, outbound despatches and associated paperwork are processed accurately and efficiently.

You'll work closely with warehouse supervisors and operational colleagues, preparing and checking documentation, updating systems, coordinating driver and vehicle movements, and ensuring the correct information is available to support the smooth running of the operation.

Location: Lows Lane, Ilkeston (with flexibility to work from other depots when required)

Hours: Monday to Friday, 7:00am – 4:00pm (42.5 hours per week)

Salary: £28,089.10 per annum

About the Role

We are looking for an organised and proactive Warehouse Operations Administrator to join our busy warehouse and logistics operation.

Based at the front desk, you will be a key point of contact for drivers, visitors and contractors while also providing essential administrative support to the warehouse and operations teams.

The role is varied and fast-paced, involving driver administration, inbound and outbound paperwork, system updates, customer documentation and general reception duties. You will work closely with Shift Supervisors, warehouse colleagues and other departments to help ensure the smooth movement of goods in and out of the site.

Key Responsibilities

• Welcome drivers to site and provide the correct paperwork and loading/despatch information.
• Liaise with Shift Supervisors regarding vehicle movements, loading requirements and bay allocations.
• Welcome and assist visitors and contractors, ensuring relevant site procedures are followed.
• Answer incoming telephone calls and transfer calls to the appropriate person or department.
• Prepare and process documentation for inbound and outbound loads.
• Create system records for incoming deliveries where these have not been created in advance.
• Confirm completed despatches accurately on the relevant warehouse management systems.
• Prepare and print inbound, outbound, collection and delivery documentation.
• Create and issue gate passes and other vehicle movement documentation where required.
• Create and process warehouse picks in preparation for customer collections and deliveries.
• Check stock information, weights, measurements and other load details to ensure customer requirements are met.
• Liaise with warehouse supervisors regarding stock, loading and despatch requirements.
• Complete despatch sheets and ensure all relevant load information is recorded accurately.
• Check Goods Received Notes (GRNs) and other inbound paperwork against supporting documentation.
• Maintain and update customer, warehouse and transport spreadsheets and tracking systems.
• Ensure drivers complete all required paperwork accurately before leaving site.
• Collate and send completed inbound and outbound documentation to customers where required.
• Take and retain photographs or other supporting evidence relating to loads, seals or despatches where required.
• Monitor stocks of operational items such as container seals and arrange replenishment when necessary.
• Maintain accurate electronic and paper filing of inbound and outbound documentation.
• Respond to customer and internal queries relating to deliveries, collections and paperwork.
• Support the wider operations and warehouse teams with general administrative duties as required About You
• Has good administration and organisational skills.
• Is confident dealing with drivers, visitors, contractors, customers and colleagues.
• Has excellent attention to detail and understands the importance of accurate documentation.
• Is comfortable using computer systems, email and Microsoft Office, particularly Excel.
• Is able to learn new warehouse and transport management systems.
• Can manage several tasks and changing priorities within a busy operational environment.
• Has good written and verbal communication skills.
• Is confident working independently while also being part of a wider operational team.
• Has a practical, proactive approach to problem solving.
• Is comfortable working within a warehouse/logistics environment where priorities can change throughout the shift.
