PRIMARY FUNCTION
Under the direction of the Facilities Coordinator, the Warehouse Manager oversees all warehouse operations, including receiving, storage, inventory control, order fulfillment, and distribution. This position is responsible for supervising warehouse staff, maintaining accurate inventory records, optimizing warehouse efficiency, ensuring workplace safety, and supporting the timely completion of work orders through Asset Essentials. The Warehouse Manager collaborates with maintenance staff, administrators, and other departments to support the operational needs of GMCS while maintaining compliance with organizational policies and procedures.
Essential Duties and Responsibilities
Warehouse Operations & Inventory Management
- Develop and implement warehouse systems and procedures under the direction of the Facilities Coordinator.
- Establish and maintain controls for inventory, equipment, tools, and materials.
- Manage inventory using Asset Essentials and other inventory management systems.
- Receive, store, and distribute parts, tools, equipment, and construction materials.
- Perform monthly, quarterly, and annual inventory audits and reports.
- Maintain accurate inventories of vehicles, heavy equipment, tagged assets, computers, tools, parts, and construction materials.
- Verify delivered items against receiving documentation and purchase records.
- Track shipments and monitor delivery lead times.
- Stock and organize warehouse inventory to ensure efficient access and distribution.
- Fulfill material requests and work order requirements for all Facilities trades.
- Maintain a clean, organized, and efficient warehouse environment.
Staff Leadership & Coordination
- Supervise and coordinate warehouse staff to ensure efficient operations and inventory control.
- Monitor and direct material distribution processes for Maintenance & Operations crews.
- Provide training, guidance, and support related to warehouse procedures and inventory management.
- Promote accountability, productivity, and teamwork among warehouse personnel.
Work Orders & Operational Support
- Support Facilities operations by ensuring timely distribution of materials and equipment.
- Complete material and labor usage entries and close work orders as directed through Asset Essentials.
- Serve as an on-call resource for equipment and parts distribution during emergencies and after-hours situations.
- Perform other duties as assigned.
Purchasing & Vendor Relations
- Obtain and evaluate competitive quotes based on specifications, photos, and descriptions provided by Facilities Leadership.
- Build and maintain positive working relationships with vendors and suppliers.
- Coordinate with the Receiving and Delivery Warehouse to ensure efficient material flow and delivery.
Safety, Security & Compliance
- Maintain the security of the warehouse, inventory, equipment, and materials.
- Ensure compliance with established warehouse procedures and safety standards.
- Promote safe material handling practices and proper use of warehouse equipment.
Communication & Collaboration
- Maintain effective written and verbal communication with Facilities Leadership and staff.
- Collaborate with employees, administrators, vendors, and stakeholders across all levels of the organization.
- Provide inventory, operational, and procurement information as requested.
Knowledge Of
- Warehouse management principles, inventory control practices, and warehouse operations.
- Inventory management and warehouse tracking software, including Asset Essentials.
- Supply chain, logistics, and material management processes.
- Data analysis and inventory reporting.
- Automated inventory technologies, including barcode scanning systems.
- Material handling procedures and warehouse safety practices.
- Applicable health and safety regulations.
- Microsoft Office Suite, including Word, Excel, and Outlook.

Minimum Qualifications
- Education/Experience: Associate degree (two-year program) in business, logistics, supply chain management, or a related field plus a minimum of 3 years of full-time inventory management experience. A high school diploma and 4 or more years of combination directly related certifications, education and experience in business, purchasing, inventory, logistics may be considered.
- Purchasing Experience: At least 2 years of professional experience in commercial purchasing and sourcing parts or materials.
- Valid driver's license
Preferred Qualifications
- B.S. / B.A. in Business Administration or equivalent experience in commercial warehouse logistics
- Experience with Brightly's Asset Essentials Facilities Maintenance and Work Order software.
Physical Conditions: On-site attendance is mandatory for this position. Work is performed in a warehouse environment. Essential and marginal functions require maintaining physical condition necessary for moderate carrying, lifting up to 50lbs, and pushing; reaching, climbing, sitting, standing and walking for extended periods of time; and operation of motor vehicles and warehouse equipment.
