The Role
We're looking for a hands-on, analytical Warehouse & Distribution Manager to own the physical movement of HallPass product end to end. You'll be responsible for three legs of our network: ingredients and packaging HallPass purchases and ships to our co-manufacturers, finished goods moving from co-manufacturers into our 3PL network, and orders shipping from our 3PLs to retail customers and distributors.
This is a builder role. Our network is live and scaling quickly after our national Walmart launch, and many of our processes are still being written. You'll set the standards, hold partners accountable, and make sure the right product is in the right place, on time, in retailer-compliant condition.
What You'll Own
Inbound Materials (Suppliers to Co-Manufacturers)
- Own inbound freight for HallPass-purchased ingredients and packaging from suppliers to co-manufacturing sites, including carrier selection and freight terms
- Partner with Supply Chain planning to align deliveries with production schedules and prevent line-down risk
- Maintain accurate visibility of HallPass-owned raw material and packaging inventory held at co-man sites
- Reconcile material receipts, usage, and yield against production output, and investigate variances, scrap, and shrink
- Manage supplier lead times, receiving discrepancies, and quality holds on incoming materials
Finished Goods (Co-Manufacturers to 3PL)
- Schedule and execute finished goods transfers from co-manufacturers to 3PL warehouses
- Ensure accurate lot and date code capture at receipt, and manage QA holds and releases
- Own temperature-controlled storage and shipping protocols for heat-sensitive product, including summer shipping standards
- Manage 3PL performance on receiving accuracy, inventory accuracy, storage conditions, and food safety requirements (SQF/AIB audits, pest control, allergen segregation)
Outbound Distribution (3PL to Customers and Distributors)
- Own order execution to retail customers and distributors, including appointment scheduling, routing guide compliance, pallet and labeling specs, and ASN accuracy
- Drive retailer compliance performance, including OTIF and fill rate
- Own freight mode strategy across FTL, LTL, consolidation, and customer pickup programs
- Manage and dispute compliance chargebacks and deductions, and fix the root causes behind them
- Manage freight damage and loss claims
Inventory Control
- Own inventory reconciliation across raw materials, packaging, and finished goods at every co-man and 3PL location
- Enforce FEFO rotation and retailer shelf life minimums at shipment
- Lead cycle counts and partner with Finance on month-end inventory close and material variance reporting
- Maintain lot traceability and recall readiness across the network
Cost & Performance
- Build and own KPI reporting: freight cost per case, warehousing cost per pallet, OTIF, inventory accuracy, chargeback rate, and claims recovery
- Audit 3PL and carrier invoices and recover billing errors
- Build and manage the annual freight and warehousing budget
- Plan capacity and execution for seasonal peaks, including Halloween, Valentine's Day, and Easter
Process & Scale
- Write SOPs, SLAs, and escalation procedures with every 3PL and carrier partner
- Improve EDI and systems integration between our ERP, 3PL WMS, and retail partners
- Lead evaluation and onboarding of new warehouses, carriers, and logistics partners as the network expands
Requirements
- 5+ years in warehousing, distribution, or logistics at a CPG brand, ideally food or confectionery
- Direct experience managing 3PLs and carriers, with a track record of holding partners to SLAs
- Experience managing owned inventory at contract manufacturers under toll or toll-plus arrangements
- Hands-on experience with major retailer supply chain programs. Walmart experience strongly preferred
- Working knowledge of EDI (850, 856, 810), routing guides, and retailer compliance requirements
- Experience managing temperature-sensitive or food-grade product
- Proven results reducing chargebacks, recovering freight claims, or cutting logistics cost
- Strong with data and spreadsheets. Comfortable building reporting from scratch
- Clear, direct communicator with external partners and internal teams
- Bias toward action. You fix problems at the root, not just the symptom
