Warehouse Coordinator
Schedule: 5 days per week
Location: Warehouse / Exterior Yard / On-Site Support
Reports To: Operations Coordinator

Position Summary
The Warehouse Coordinator is responsible for the daily care, preparation, organization, and maintenance of exterior plants and related materials within the warehouse and yard. This role supports installation and service teams by ensuring plants and materials are healthy, properly maintained, accurately inventoried, and installation-ready. The position works closely with the Operations Coordinator to communicate plant status, inventory needs, material readiness, and operational issues.
Key Responsibilities
Plant Inventory & Care
Water all inventory plants according to established schedules and individual plant needs
Monitor plant health and perform routine pruning, grooming, and pest management
Apply preventative and corrective treatments as directed, including nematode applications
Supports all color “pick lists” and scheduled pick-ups from nearby nurseries
Up-pot plants as needed to maintain plant health and growth
Conduct regular inspections and proactively flag declining or problematic plant material to the Operations Coordinator
Plant Preparation, Staging & Installation Support
Pull, label, clean, and stage plants for replacement and installation based on lists provided by the Operations Coordinator and Greenhouse Coordinator
Ensure all plants meet installation-ready standards for quality, cleanliness, and appearance
Clearly label and organize staged plants for technician pickup and route efficiency
Report back to the Greenhouse Coordinator & Procurement Coordinator on:
Plants pulled and staged
Plants ready for installation
Shortages, substitutions, or quality concerns
Inventory of materials needed for warehouse and exterior yard
Support horticulture technicians with plant prep, staging, and material organization as needed
Receiving, Shipping & Inventory Management
Receive, unbox, inspect, and process incoming green goods shipments
Check off all received on packing slip, initial packing slip, and mark box
Receive in Aspire system and upload packing slip and invoice
Perform initial plant treatments and inspections upon arrival
Prepare, pack, and stage outbound plants and non-plant materials (containers, décor, soil, moss, rock, tools)
Verify outbound materials align with work orders, installation lists, or service tickets
Assist with periodic inventory counts, spot checks, and discrepancy reporting
Track plant movement and inventory status accurately
Inspect containers and materials for damage and remove defective items from active inventory
Warehouse Operations, Equipment & Facility Maintenance
Perform routine water machine maintenance and report malfunctions or service needs
Safely operate warehouse equipment including hand trucks, carts, pallet jacks, and ladders
Assist with loading and unloading delivery vehicles as needed
Maintain a clean, organized, and safe warehouse environment, including:
Sweeping and floor care
Trash and recycling removal
Organized storage of plants, containers, and materials
Maintain labeled shelves, racks, and storage areas for efficient retrieval
Keep aisles, exits, and work areas clear and hazard-free
Safety, Documentation & Communication
Follow all warehouse and safety procedures, including PPE requirements
Report unsafe conditions, spills, or damaged equipment immediately
Complete required documentation such as receiving logs, pull lists, and checklists
Work closely with the Operations Coordinator and operations team daily
Communicate clearly and proactively regarding plant issues, inventory shortages, equipment concerns, or scheduling conflicts

Expectations for Success
Consistent completion of daily plant care, warehouse, and staging responsibilities
Accurate and timely reporting of plant pulls, removals, and inventory status
High standards for plant quality, organization, and cleanliness
Strong follow-through and proactive communication
Physical Demands & Work Environment
Regularly lift, carry, push, and pull plants, containers, and materials weighing up to 50 lbs
Stand, walk, bend, kneel, crouch, and reach for extended periods throughout the workday
Perform repetitive tasks involving watering, pruning, cleaning, and material handling
Use ladders, carts, hand trucks, and pallet jacks safely and regularly
Work in warehouse, atrium, and occasional on-site environments with varying temperatures, humidity, and lighting
Tolerate exposure to soil, water, plant debris, fertilizers, and pest control treatments
Ability to work in wet or slippery conditions at times due to watering and cleaning activities
Preferred

Qualifications
Experience with interior plants, horticulture, warehouse, or greenhouse operations preferred (training available)
Ability to lift, move, and handle plants, containers, and materials regularly
Strong attention to detail and ability to follow written task lists
Reliable, organized, and able to work independently or as part of a team
Willingness to obtain and maintain required pesticide application certification as needed for the role
