The Warehouse Clerk is responsible for receiving, storing, tracking, and distributing supplies, materials, and equipment to support university operations. This position maintains accurate inventory records, ensures timely fulfillment of supply requests, and supports the efficient operation of the Facilities warehouse and related storage areas. The role requires regular on-site presence in a warehouse and facilities environment and supports essential university operations.
ESSENTIAL JOB FUNCTIONS
- Maintains inventory of supplies and equipment by monitoring stock levels, verifying shelf counts, and initiating replenishment requests or orders as needed.
- Receives, inspects, and stores incoming supplies and materials in designated warehouse or storage areas.
- Reviews purchase and delivery documentation for accuracy, including quantities, approvals, and coding, and verifies incoming shipments against invoices and packing slips.
- Prepares and delivers supplies to authorized departments across campus in a timely manner.
- Coordinates routine ordering of supplies with approved vendors and processes related purchasing documentation, including requisitions and small purchase orders.
- Maintains inventory records using appropriate systems and ensures accuracy of data entry and tracking.
- Maintains Material Safety Data Sheets (MSDS) and ensures proper handling and storage of materials as applicable.
- Ensures safe storage, handling, and distribution of supplies in compliance with university safety procedures.
- Operates warehouse equipment and tools as required for receiving, storage, and distribution activities.
- Maintains organization, cleanliness, and safety of warehouse and storage areas.
- Provides customer service to internal departments regarding supply needs and inventory availability.
- Performs general clerical duties related to inventory control and warehouse operations, including use of computer systems and tracking tools.
- Performs other related duties as assigned in support of Facilities operations.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Knowledge of inventory control practices and warehouse operations.
- Ability to receive, store, track, and distribute materials accurately and efficiently.
- Ability to follow safety procedures and enforce safe handling of supplies and equipment.
- Ability to prepare and maintain routine records and administrative documentation.
- Skill in using computers and inventory or purchasing systems.
- Ability to communicate effectively with campus departments and vendors.
- Knowledge of customer service principles and practices.
- Ability to work independently in a structured facilities environment with frequent physical activity.
SUPERVISORY RESPONSIBILITY:
- This position does not have supervisory responsibility.
QUALIFICATIONS:
- High school diploma or GED required.
- At least one year of experience in warehouse operations, inventory control, facilities support, or a related field.
WORKING CONDITIONS:
- Work is performed primarily on-site in warehouse, storage, and campus facilities environments.
- Work involves frequent standing, walking, lifting, carrying, and moving materials.
- Requires ability to lift and move items over 50 pounds.
- Work environment may include exposure to temperature variations, dust, noise, and typical warehouse conditions.
- Use of warehouse equipment may be required.
Facilities Department employees are considered “essential employees.” As such, all Facilities Department employees are required to report for work during emergencies as well as University closings
