Having conducted a thorough review of the XTX’s long-term research objectives, and the compute power required to support it, we have committed to construct a fully owned and managed data centre campus to house the HPC Cluster in Kajaani, Finland, designed with flexibility and capacity in mind allowing for future scalability without constraints or impediments.

The Role

We are seeking a highly skilled and experienced Warehouse & Logistics Specialist responsible for overseeing the efficient movement, storage, and tracking of high volumes of goods within the datacentre campus. This includes coordinating complex deliveries, staging large-scale IT equipment installations, managing an extensive inventory consisting of thousands of assets/components, and ensuring accurate inventory of spares and consumables.

The role demands meticulous handling and secure, auditable stocking processes, ensuring operational continuity and compliance with industry standards.

Tasks and Responsibilities

Goods/In and Goods/Out Management:

• Manage receiving, storage, packing, and shipping of materials, equipment, and hardware, ensuring that all deliveries are accurately logged and comply with purchase orders and agreed specifications.

• Operate warehouse equipment safely and efficiently.

• Supervise the staging and coordination of complex deliveries for large-scale installations, ensuring timely delivery to support commissioning schedules.

• Oversee the scheduling and movement of outgoing goods, including returns, repairs, or redistribution, while maintaining robust tracking systems to minimise errors.

• Liaise with suppliers and contractors to resolve delivery discrepancies and ensure operational requirements are met promptly.

• Oversee control over packaging waste and implement sustainable recycling and disposal practices.
• Oversee the secure destruction and decommissioning of obsolete IT equipment in accordance with environmental and data privacy laws.

Coordination of Large-Scale Installations:

• Develop and oversee logistics plans to accommodate large-scale installations, including staging and delivery of infrastructure such as servers, racks, cabling, and electrical and cooling systems.

• Perform hands-on warehouse tasks including moving, loading/unloading, unpacking, and inventory organisation.

• Work closely with installation teams to ensure components and tooling are staged effectively to meet project deadlines.

• Provide contingency planning for schedule changes or delays, ensuring spare components or alternative solutions are accessible.
• Implement workflows to support the coordination of hundreds of infrastructure elements with minimal disruption to operations.

Inventory Management:

• Manage an extensive inventory consisting of thousands of assets required for the operation of the datacenter campus and IT infrastructure. This includes servers, network devices, optical transceivers, cabling, power distribution units (PDUs), cooling infrastructure (including secondary loop cooling fluid), consumables, and spare/replacement parts such as network interface cards, disks, DIMMs, power supply units, and other critical IT components.

• Ensure accurate tracking of spare parts to facilitate rapid replacements and minimise downtime during maintenance cycles.

• Conduct routine audits of all inventory, ensuring compliance with operational and organisational standards.

• Maintain precise stock levels to avoid overstocking or shortages and ensure timely replenishment of consumables.
• Implement barcode, RFID, or similar technologies to optimise inventory tracking and retrieval processes.

Secure and Auditable Stocking:

• Ensure secure storage of high-value and sensitive equipment.

• Maintain auditable records of all inventory transactions.

• Conduct risk assessments to proactively identify vulnerabilities in the storage and management of sensitive components.
• Implement controlled access and security measures within warehouse operations to safeguard assets against unauthorised handling.

Warehouse Operations:

• Develop streamlined warehouse workflows to manage high-volume storage while ensuring components are accessible and organised efficiently.

• Oversee climate-controlled storage conditions for IT equipment.

• Train and lead warehouse staff on proper handling and storage protocols for IT inventory.
• Optimise warehouse layouts to minimise retrieval times and improve operational efficiency.

Logistics Coordination:

• Coordinate transportation logistics with external providers, ensuring timely and accurate delivery of goods to meet operational and installation deadlines.
• Manage site-wide delivery schedules to accommodate priority shipments, urgent spares, or large-scale installation materials.

Compliance and Auditing:

• Conduct regular internal audits of inventory and logistics operations, ensuring compliance with organisational requirements.

• Provide detailed reports and supporting documentation for audits, ensuring inventory data and processes are fully transparent.

• Maintain accountability for all storage, delivery, and audit processes, ensuring traceability of all assets, components and consumables.

Essential Attributes

• Exceptional organisational skills to oversee inventory systems in environments requiring precision and scalability.

• Advanced knowledge of warehouse management systems and inventory control technologies, including barcoding and RFID tracking.

• Strong analytical capabilities to address stock discrepancies, forecast component usage, and optimise workflows.

• Attention to detail in audit records and compliance-related documentation.

• Leadership and communication skills to manage warehouse teams and coordinate across cross-functional departments.
• Fluency in both Finnish and English.

Experience

• Bachelor’s degree in logistics, warehouse management, supply chain operations, or relevant experience in similar fields.

• Certifications such as Certified Inventory Management Professional (CIMP), Certified in Production and Inventory Management (CPIM), Inventory Control Professional Certification (ICPC), or similar.

• Demonstrable experience in managing inventory systems for thousands of high-value systems/components in IT, datacentres, or high-performance environments.

• Experience in overseeing logistics for complex delivery and staging operations, including large-scale installations.

• Familiarity with the proper handling, storage, and tracking of IT equipment.

• Forklift operation experience is beneficial.
