About Us – Warden’s Office:

The Warden’s Office drives the strategic direction of Hart House, ensuring responsible and responsive governance, creating and maintaining partnerships and collaborations, overseeing all of the business and program activities of the House, and representing Hart House to the broader University of Toronto community and beyond. We work within the Hart House Strategic Plan to drive activity around 5 core commitments:

Within the Warden’s Office, Strategic Initiatives provides critical support to the Hart House Strategic Plan through leadership on implementation strategy, assessment, special projects, policy development, grant development, accessibility and related projects. We collaborate closely with all of the departments within Hart House, and work to foster supportive and mutually beneficial relationships within our organization, the campus community and beyond.

Your opportunity:

Reporting to the Director, Strategic Initiatives, the incumbent provides project management support and administrative assistance for key projects that advance strategic priorities for Hart House, including development of our next strategic plan, building renewal, coordination of arts-based programming in relation to the TRC Calls to Action, assessment, grant development, policy and governance work, and initiatives connected to equity, diversity, inclusion and spaces. The incumbent provides project management support and administrative assistance for complex, multi-stakeholder projects that advance strategic priorities in a co-curricular, student-facing and revenue-generating environment.

The incumbent is responsible for coordinating and executing project plans from start up to completion, responding to the objectives and priorities of the Warden’s Office. The incumbent supports the establishment of project objectives and overall design; undertakes detailed research on a wide variety of topics in support of projects; is responsible for coordinating the tracking of all project documentation and activities; prepares project milestones and timelines; monitors project activities and notifies of any problems; organizes project meetings and takes minutes; generates status and summary reports.

The incumbent coordinates collection of assessment data and reporting for programs and services at Hart House. The incumbent also provides administrative support to Director, Strategic Initiatives as needed, employing a thorough knowledge and understanding of the priorities of the Director to maintain calendars, coordinate meetings, maintains files and follows up on action items. With strong knowledge of anti-racist, intercultural and Indigenous frameworks, the incumbent engages positively with a range of key internal and external partners to support this work.

Your responsibilities will include:

  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Determining actionable items based on the review of applicable information
  • Drafting presentation materials
  • Assigning and checking the work of work-study students
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Tracking program metrics to inform continuous service improvements
  • Preparing draft program reports and summaries from data collected
  • Implementing plans and process improvements for project activities

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five years in an administrative or project coordination role preferably in a post-secondary setting, with experience supporting complex, multi-stakeholder projects in a co-curricular and service-oriented environment.
  • Experience supporting processes related to committees or governance activities, including preparing or coordinating documentation.
  • Experience supporting or coordinating arts-based programs, events, or initiatives.
  • Experience assisting with grant or funding proposal preparation, including drafting and coordinating supporting materials.
  • Experience supporting program assessment or evaluation activities, including data collection, organization, and basic reporting.
  • Demonstrated ability to coordinate work effectively in busy, deadline-driven environments with multiple stakeholders.
  • Demonstrated experience working within anti-racist, Indigenous and intercultural frameworks.
  • Excellent oral and written communication skills and the ability to create, compose, edit written materials.
  • Excellent presentation, interpersonal and organizational skills and the ability to exercise initiative, creativity, and attention to detail.
  • Excellent planning and project management skills.
  • Ability to exercise patience, and to demonstrate tact, judgment and discretion.
  • Ability to work both independently and collaboratively within a team environment in a busy, deadline-oriented workplace.
  • Demonstrated ability to work effectively in a highly diverse University community and to organize, motivate and work constructively and cooperatively with a variety of internal, campus and community groups.
  • Experience working with community partners and cultivating community partnerships.
  • Demonstrated commitment to principles of equity, diversity and inclusion in all collaborative work practices.
  • Strong knowledge of the diverse Indigenous traditions, values and cultural protocols; along with an understanding of services and resources available at the University of Toronto.
  • Knowledge of educational issues/barriers (e.g. educational history, funding access) and wider community concerns (i.e. housing, family concerns, economic).
  • Awareness of campus systems and organizations, and the University’s policies and procedures as they relate to student life.
  • Proficiency with MS Office, including Outlook, Word, Excel and PowerPoint and CoPilot; project management software (e.g., Asana); online survey and assessment software, design software and programs (e.g., Canva); and other digital platforms.
  • Knowledge and experience supervising, engaging and mentoring casual and student staff.


Assets (Nonessential):

  • Project Management Professional (PMP) certification.
  • Experience working within Indigenous communities with strong knowledge of Indigenous worldviews, culture and values.
