In this part time role, based at Epworth Freemasons (East Melbourne), you will be responsible for providing administrative support to ensure efficient ward operations and excellence in customer service to all patients, visitors, medical staff and unit staff.

This role is working 3 days - Weds, Thurs, Fri either 7am-3pm or 8am-4pm

Working on a fast paced general surgical ward, you will make an impact by:

  • Greeting and directing visitors to the ward
  • Admissions and discharges
  • Managing phone calls and enquiries
  • Liaising with all areas of the healthcare team and key external stakeholders including the treating teams, support services and referrers
  • Being available at short notice to work weekdays

You will have:

  • Previous administration experience (healthcare experience desirable)
  • Understanding of confidentiality and privacy requirements
  • A proactive approach and ‘can do’ attitude
  • Flexible approach to work schedules

You are a proactive, customer-focused administrator who thrives in a fast‑paced clinical environment. You work well as part of a team, adapt quickly and take pride in contributing to high-quality patient care.

You are known for your:

  • Strong organisation and time management skills
  • High attention to detail and accuracy
  • Clear and professional communication style
  • Ability to remain calm and effective in busy ward settings

You will bring:

  • Previous medical administration experience (hospital experience highly regarded)
  • Sound knowledge of medical terminology
  • Experience using IPM and hospital or patient information systems
  • Strong IT skills and confidence navigating multiple digital platforms
  • A clear understanding of confidentiality and privacy requirements in healthcare
  • Flexibility to work across varying shifts and schedules

We are the major specialist paediatric hospital in Victoria and our care extends to children from Tasmania, southern New South Wales and other states around Australia and overseas.

With a passionate, highly skilled and committed staff campus wide of over 5,000, we provide a full range of clinical services, tertiary care and health promotion and prevention programs for children and young people.

We are the designated state-wide major trauma centre for paediatrics in Victoria and a Nationally Funded Centre for cardiac and liver transplantation.
