In this role, you will play a central part in supporting voyage optimisation and commercial operations by maintaining accurate voyage data, managing customer nominations, and ensuring that all invoicing and rebilling activities are carried out in line with Charter Party terms. You will be responsible for keeping COA files and voyage information up to date, liaising with spot and COA customers on a daily basis, and ensuring all relevant information is accurately captured in IMOS. By providing detailed data support to the Voyage Optimisation and Sales & Marketing Department, you will help secure timely collection of receivables, maintain key performance indicators, and contribute to the smooth commercial and operational performance of assigned ships.

What you will be doing
As a Voyage Coordinator, you will manage and update COA files and voyage itineraries for assigned ships, making sure that all nominations, changes, and relevant details are accurately entered into IMOS and other internal databases.
Key responsibilities
Maintain COA files and ensure they are kept up to date
Enter COA nominations and any subsequent changes into IMOS, ensuring data accuracy
Maintain all relevant COA KPIs as directed by the Trading Manager
Handle day-to-day liaison with spot and COA customers, including:
Nominating ships under COAs and spot fixtures as directed by the Trading Manager
Taking COA nominations
Providing last cargo information
Providing ETAs and PTAs
Handling all customer service requests
Maintain voyage itinerary and P/L for assigned ships and provide comments on voyage progress in the notes section
Ensure extra charges are entered in IMOS and re-billed as required
Ensure accurate entry of spot fixtures in IMOS and update any subsequent changes
Ensure accurate entry of barging and transshipments in IMOS and maintain related fixtures
Assist voyage optimisation as directed
Prepare and sign vessel certificates in accordance with legal directives
Provide weekly forecast reports
Ensure accurate database administration
Support ad hoc projects as assigned by management
Perform any additional country-specific responsibilities as required (information not provided)
Qualifications
Bachelor’s degree or equivalent level of education
1–2 years’ experience in a similar analytical role or in demurrage
Excellent analytical skills with a high level of accuracy and attention to detail
Excellent communication skills with a problem-solving approach
Excellent computer skills with good working knowledge of MS Office applications
Knowledge and experience with IMOS is an advantage
