Job Description

Position Summary

CIBT is seeking a highly organized and customer-focused Onsite Business Travel Coordinator to support our client. Based onsite in India, this role acts as the primary liaison between client employees, CIBT operational teams, Visa partners, and government authorities to ensure seamless delivery of business travel, visa and consular services.

The successful candidate will manage end-to-end travel document processes, stakeholder communications, case escalations, and service delivery excellence while ensuring compliance with clients policies and global Visa requirements.

Primary Responsibilities

Visa Case Management (50%)

  • Coordinate end-to-end processing of business visas, services for client travelers and assignees.
  • Review application documentation and ensure completeness prior to submission.
  • Track application progress and provide timely updates to travelers, executive assistants, HR teams, and business stakeholders.
  • Liaise with CIBT operational teams, and government authorities to facilitate case completion.
  • Ensure all cases are managed in accordance with established service level agreements (SLAs).
  • Maintain accurate records within CIBT and client case management systems.
  • Support urgent and priority travel requests, including executive and time-sensitive cases.
  • Prepare trip report from BCD

Stakeholder Coordination & Client Relationship Management On Site (10%)

  • Serve as the primary onsite point of contact for client employees, executive assistants, HR , BCD teams and business stakeholders.
  • Partner closely with CIBT APAC l operations teams to ensure consistent service delivery across regions.
  • Conduct regular case reviews and provide proactive communication on pending actions, risks, and travel requirements.
  • Support onboarding and training sessions for Bloomberg stakeholders on visa processes.

Escalation Management & Service Excellence (10%)

  • Triage and manage operational escalations related to visas, and travel documentation.
  • Provide initial responses to escalations within agreed timelines.
  • Coordinate with internal and external stakeholders to resolve service issues and minimize traveler impact.
  • Document service issues, root causes, and corrective actions.
  • Produce monthly reporting on escalations, service metrics, and operational trends.
  • Support business continuity planning for critical travel requirements.

Compliance & Operational Support (10%)

  • Ensure compliance with immigration regulations, data privacy requirements, and client policies.
  • Monitor changes in visa, and travel regulations and communicate updates to stakeholders.
  • Maintain accurate process documentation and standard operating procedures.
  • Support audits and quality assurance reviews where required.

Key Deliverables

  • 95%+ of cases managed within agreed SLA timelines.
  • High client satisfaction scores from client stakeholders.
  • Accurate and timely communication throughout the application lifecycle.
  • Effective management of urgent and executive-level travel requests.
  • Timely resolution of operational escalations.
  • Up-to-date process documentation and compliance records.
  • Consistent service delivery aligned with client and CIBT standards.

Required Skills & Experience

Essential

  • 5-7+ years of experience in visa, travel, or client service operations.
  • Experience coordinating with embassies, consulates, immigration authorities, and external vendors.
  • Strong stakeholder management and client-facing experience.
  • Excellent organizational and multitasking skills.
  • Strong problem-solving and escalation management abilities.
  • Ability to manage high-volume cases while maintaining accuracy.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, Outlook, Teams, and case management systems.

Preferred

  • Experience supporting global corporate travel programs.
  • Familiarity with business visa processes across APAC.
  • Experience working within multinational corporate environments.
  • Understanding of compliance, data privacy, and document management requirements.
  • Previous experience working with our client, financial services clients, or executive-level travelers.
