Job Description

The Visa and Immigration Specialist provides dedicated support to client travel teams, ensuring seamless coordination of visa, passport, and special project requirements. This role oversees end-to-end case coordination - monitoring orders, managing documentation in INON and IMMIGO, identifying risks, and communicating updates proactively to keep all projects on track. The position requires strong client service skills, clear communication, and the ability to manage high volumes while maintaining accuracy, compliance, and timely delivery. Success in this role relies on exceptional organization, problem-solving ability, and a professional approach to supporting clients across dynamic and time-sensitive travel operations.

Duties and Responsibilities

  • Provide expert guidance to client travel teams and travelers on visa, passport, and immigration requirements, offering risk assessment, proactive issue escalation, and tailored consultation for each case.
  • Manage end-to-end case handling by preparing documentation, coordinating filings, maintaining timelines, monitoring deadlines, and ensuring all work is accurately recorded in INON and IMMIGO.
  • Coordinate closely with GBV offices, network partners, CIBT teams, VIP resources, and local operations to support project-specific needs, special handling requests, and group travel requirements.
  • Act as a centralized point of contact for all client-related inquiries, maintaining professional communication through dedicated channels and providing timely updates on case status, potential delays, or rejections.
  • Continuously monitor orders in progress, review follow-up reports, identify emerging issues, and keep leadership informed of requirement changes that may impact service delivery.
  • Uphold compliance with company policies, standards of work, and ethical guidelines while fostering strong internal relationships and performing additional duties as assigned by management.
  • Maintain high-quality service delivery by staying current on regulatory changes, industry updates, and internal process adjustments that influence visa and immigration support.
  • Ensure travelers receive accurate information, direct consultant contact details, and all required documents on time, maintaining a seamless experience throughout the entire case lifecycle.
  • Use professional judgment to identify trends, address recurring issues, and recommend process improvements that enhance operational efficiency and client satisfaction.

Education and Qualifications

  • Graduate level degree or equivalent
  • Experience in Travel, Hospitality, or Embassy/Consulate relations in plus
  • Fluency in written and spoken English language
  • Exceptional communication and interpersonal skills
  • Computer literate with excellent writing and email skills
  • Strong client service mentality
  • Solution-focused with excellent attention to detail and accuracy
  • Commitment to working with clients in order to deliver the highest level of customer service
  • Strong organizational and time management skills
  • Ability to handle high volume while maintaining high level productivity
  • Ability to problem solve, analyze information and provide solutions
