Yes, you'll answer calls, book appointments, and manage a calendar.

But the real business we are in is steadying the room — helping a worried pet owner get to a clear next step in seconds, not minutes.

A caller hangs up because nobody picked up fast enough, and the clinic never even knows a client was lost. A borderline emergency gets treated like a routine booking because nobody caught the red flag in time. A missed call sits untouched for hours while the pet owner books with another clinic. A calendar fills with the wrong appointments because nobody qualified the caller properly.

Every one of those is a pet that didn't get seen, or a client the clinic will never get back. That is what this role is for.

We are hiring a Virtual Front Desk Operator who helps every caller, controls every conversation, and closes every call with a clear next step.

This is not a generic answering-service job. You are the front-door operator of a clinic's revenue. This is a remote role through ScaleSource.

The Big Picture

Our standard is simple:

Every caller gets qualified fast, every red flag gets caught, and no missed call goes untouched.

If the phone rings, it gets answered with a warm, calm, audible smile — every time. If a caller describes a symptom, it gets checked against the emergency red flags before anything else. If a call is missed, it gets recovered within 20 minutes, not by end of day. And when the clinic looks at its booking rate, it's proof the front desk is working, not guessing.

We do not need someone who says, "I think I called that lead back."

We need someone who says:

"Answered 41 calls today, booked 26 — booking rate at 63%. Caught one red flag — a labored-breathing bulldog — and directed the owner to the ER inside 60 seconds. Missed-call queue closed by 5 PM, all 7 recovered inside the 20-minute window. Two callers asked about a competitor's pricing; I flagged the pattern to the manager."

That is the difference.

Role Mission

Your mission is to make sure no pet goes unseen and no client is lost to silence.

You are the front door of the clinic. You handle the fear, the questions, and the calendar so the clinical team can handle the animals.

You will work across the phone, the Practice Management System, the dialer, and SMS to make sure every caller is qualified fast, every emergency is caught, every missed call is recovered, and every conversation ends with a clear next step.

You are not just answering phones.

You are protecting the pets, the clients, and the clinic's revenue — one call at a time.

What You'll Own

1. Calendar and Scheduling Ownership

You will run the clinic's calendar as if it were your own.

You will be responsible for:

  • Managing the clinic's calendar end to end — triage, scheduling, and missed-call recovery
  • Qualifying every caller properly so the calendar fills with the right appointments
  • Booking accurately the first time — right service, right slot, right doctor
  • Treating the calendar as your personal responsibility, not a shared task nobody owns

A calendar full of unqualified bookings is not a full calendar. It is tomorrow's chaos.

2. Emergency Triage

You will be the first line that decides whether a pet is in danger.

You will be responsible for:

  • Identifying and responding to the 12 life-threatening red flags for emergency triage
  • Checking every described symptom against the red flags before anything else
  • Qualifying callers quickly and directing them using the G.U.I.D.E. call structure and strategic silence
  • Never rushing past a red flag to hit a time target — speed with judgment, always

A missed red flag is not a service miss. It is a pet at risk.

3. Missed-Call Recovery

You will make sure no missed call becomes a lost client.

You will be responsible for:

  • Running daily missed-call recovery, touching new leads within 20 minutes
  • Closing the missed-call recovery queue every day without letting leads go cold
  • Treating every missed call as a client actively deciding between you and another clinic
  • Logging every recovery attempt so nothing gets touched twice or never

A missed call recovered in 20 minutes is a save. The same call recovered at 5 PM is usually someone else's client.

4. Client Communication Systems

You will keep the communication backbone accurate and current.

You will be responsible for:

  • Using the Practice Management System (PMS), dialer, and SMS tools to manage client communication
  • Keeping client records and communication threads accurate and current across every channel
  • Logging every meaningful contact so the clinical team is never starting from zero
  • Making sure information lives in the system, not in your head or a sticky note

If it is not in the PMS, it did not happen.

5. Scorecard Ownership and Pattern Flagging

You will own your numbers and make the clinic smarter.

You will be responsible for:

  • Hitting and reporting your weekly scorecard — booking rate, qualify-to-direct time, recovery speed
  • Improving QA scores week over week through self-review and coaching
  • Flagging patterns — recurring complaints, missed-call trends, scheduling gaps — to managers before they become bigger problems
  • Operating with an Owner Mindset: we track bookings, not hours

The test is simple: if the manager finds the pattern before you flag it, the front desk was watching but not seeing.

Bad news early is useful. Bad news late is expensive. Flag patterns — recurring complaints, missed-call trends, scheduling gaps — to managers before they become bigger problems. If you made a mistake on a booking or a triage call, say it immediately.

5. Document It or It Didn't Happen

Every call, every recovery attempt, every promise to a client. Logged in the PMS, tagged, dated, owned. The clinical team treats what the record says — so the record has to be right.

6. We Track Bookings, Not Hours

This is an Owner Mindset role built on EOS: clear goals, weekly scorecards, honest feedback. Your output is booked appointments and caught red flags, and your scorecard is not a threat — it is how you prove the front desk is working.

  • PMS records and communication threads are accurate enough for the clinical team to act on
  • QA scorecards improve week over week through self-review and coaching
  • Patterns reach the manager from you first, before they become problems
  • The clinic's calendar is full of the right appointments, not just appointments
  • Pet owners hang up calmer than they called

90-Day Targets

  • Maintain a booking rate at or above 60%

Requirements

Required Qualifications

  • 1–5 years of customer-facing phone work — hospitality, dental/medical reception, or salon coordination backgrounds preferred
  • Native-level English fluency with a warm, calm tone and audible smile
  • Experience handling a Practice Management System (PMS), dialer, and SMS tool
  • Must pass a live call simulation, including an emergency triage scenario
  • Reliable availability across morning (10AM–12PM) and evening (4PM–6PM) U.S. Central Time peak hours
  • Professional home office setup and reliable internet
  • Willing to undergo the required training assessment as part of the recruitment process

Preferred Qualifications

These are not all required, but they are a big plus.

  • Veterinary, medical, or dental front desk experience specifically
  • Experience with U.S.-based customers or U.S.-based companies
  • Experience being measured on a booking rate, conversion rate, or call scorecard
  • Experience with missed-call or lead recovery workflows
  • Experience working within EOS or a scorecard-driven operating system
  • Experience improving a call script or front desk process, not just following one
  • Conversational Spanish

Remote, supporting U.S.-based veterinary clinics. Monday–Friday, 8 hours/day, overlapping U.S. Central Time, with reliability across morning (10AM–12PM) and evening (4PM–6PM) peak hours.

Compensation

$1,000 USD/month base, increasing to $1,500 USD/month after 90 days.
