This role is integral to the smooth and effective operation of the GML Team Leader's office. Reporting to the Chief of Staff, the Executive Assistant will provide high-level administrative, logistical, and project support to ensure the Team Leader can focus on strategic priorities.
Key Responsibilities
· Calendar and Meeting Management
o Proactively manage and maintain the team leader’s complex calendar.
o Schedule internal and external meetings across multiple global time zones, ensuring all necessary materials and logistics are prepared.
· Travel and Logistics
o Handle all aspects of complex international and domestic travel planning, including flight, accommodation, and ground transportation bookings.
o Prepare detailed logistical and travel memos to ensure smooth transitions between appointments.
· Financial Administration
o Manage and process the team leader’s monthly expenses.
o Prepare and submit accurate expense reports on time.
· Communication and Information Management
o Draft email communications (tee-ups) on behalf of the team leader, ensuring alignment with the team’s voice and objectives.
o Prepare meeting briefs ahead of calls and/or physical meetings, giving key background info on organizations, as well as biographical info.
· Salesforce Management
o Manage critical data and documents, including uploading information and records onto Salesforce to support team information management
· People First Operations
o Sending the monthly newsletter to the People First Community
o Logistical support for People First Talks, including, but not limited to, liaising with language translators
o Other People First Community needs as they arise
