Job Description

Position Summary
The Veterinary Tech Clinical Leader provides operational, academic, and team leadership for the Veterinary Technology clinical externship program. This role, with oversight from the Academic Director, ensures compliance with AVMA accreditation standards and institutional policies while overseeing evaluators, supporting faculty and site supervisors, and maintaining high service standards for students. The Clinical Leader drives workflow efficiency, data integrity, academic quality, and continuous program improvement. The Clinical Leader reports to the Manager of Externships and is supported directly by the Academic Director.

Key Responsibilities
Evaluator & Team Oversight and Support
• Monitor and manage team communication channels to ensure timely communication, alignment, and issue resolution.
• Address personnel concerns for evaluators and provide ongoing mentorship, development, and performance support.
• In partnership with the Externship Assistants, coordinate and deliver evaluator and faculty training, including onboarding for new clinical externship faculty and Fast Track lab onboarding.
• Maintain and update the training database and related documentation.
• Lead or support weekly live webinars and team meetings to ensure consistency in grading, evaluation standards, and student support practices.

Clinical Externship Operations & Workflow Management
• Oversee end-to-end workflow for Clinical Externship courses, ensuring timely processing and tracking of all required documentation.
• Ensure service level standards are consistently met for student externship skill submissions, grading turnaround, and case processing.
• Coordinate and confirm grading of clinical externship skills and ensure grade posting accuracy.
• Maintain accurate externship records, spreadsheets, and tracking systems
• Manage the Fast Track Lab Roster and related operational tracking.
• Handle escalations related to externship skills and student progression.
• Participate in additional academic and operational initiatives as directed by the Manager and Directors.

Accreditation, Compliance & Academic Quality
• Lead and monitor externship processes to ensure all activities, and documentation, align with AVMA requirements, institutional policies, and applicable accreditation standards.
• With support from Academic Director, support and implement skill revisions as needed to maintain academic rigor and compliance.
• With support from Academic Director, review and revise clinical externship course materials, documentation, and skills to ensure alignment with program outcomes.
• Maintain documentation and data necessary for accreditation reporting and audits.

Student, Site & Supervisor Engagement
• Review proposed clinical sites, communicate with clinical supervisors, and support site approval processes as needed.
• Provide ongoing site supervisor support to ensure expectations and evaluation standards are clear.
• Monitor student progress throughout clinical externship courses and provide intervention support for inactive learners.
• Support positive student and site experiences across the full externship lifecycle.

Knowledge, Skills, Abilities:
• Must possess a minimum of an Associate’s degree from an AVMA accredited program.
• Must be a Credentialed Veterinary Technician possessing a minimum of 2 years experience in a clinical setting. License must be current and in good standing with state licensing board.
• Strong interpersonal skills necessary for positive interactions with students, team members, externship sites, and the leadership team.
• Demonstrated proficiency with technology and the ability to troubleshoot system-related issues effectively.
• Excellent time management and task prioritization skills.
• Prior externship experience preferred.
• Experience leading and managing a team
• Excellent grasp of how technology can be applied to new methods of instruction.
• Must possess strong organizational skills with the ability to work independently.
• Strong written communicator with the ability to work collaboratively with a team.
• Ability to think quickly, communicate effectively and efficiently, and enjoy being part of a team.
• Contribute to a supportive, positive team culture.
Working Conditions & Hiring Process
• U.S. Work Location Requirement: All employees must reside in and perform work within the United States. We do not support international remote work arrangements for this role.
• Travel Expectations: While this is a remote position, occasional travel may be required for team meetings, company events, conferences, summits, etc. Candidates must be willing and able to travel as needed.
• On-Camera Work Environment: We operate in a highly collaborative, remote, on-camera culture. Employees are expected to be on camera during meetings unless extenuating circumstances apply.
• Recorded Video Interviews: All video interviews conducted during the hiring process will be recorded to support internal hiring consistency and process improvement.
• Background Checks: Employment with Penn Foster Group is contingent upon successfully completing applicable pre-employment screening requirements, which may include verification of employment history, education, and criminal background, where permitted by law.
• Identity Verification (Form I-9): As part of our onboarding process, all hires must complete employment eligibility verification in compliance with federal law. This includes remote Form I-9 verification, which may require an in-person identity verification step with an authorized representative.
