Summary:
The Veterans Service Ambassador (VSA) – Office Staff is responsible for providing frontline support, customer service, and administrative assistance to veterans accessing agency services. This role ensures a welcoming and professional environment while supporting daily program operations, coordinating communication, maintaining documentation, and assisting staff and residents as needed. The VSA helps promote a safe, organized, and supportive atmosphere aligned with the agency’s mission to serve veterans.
Essential Duties and Responsibilities
Front Desk & Customer Service
- Maintain cleanliness of facility and office space throughout shift.
- Greet veterans, visitors, and service providers in a courteous and professional manner.
- Maintain visitor logs, sign-in sheets, and ensure proper check-in procedures. Screen residents’ badges.
- Answer phones, respond to inquiries, and direct calls to appropriate staff.
- Provide general information about programs, resources, and upcoming activities.
Administrative & Office Support
- Distribute mail, messages, and notices to residents and staff.
- Monitor Security cameras, assist security with on-site crisis, ensure security is completing security logs, and debrief with on-site security.
Program & Resident Support
- Provide support to residents by offering guidance on program rules and expectations.
- Assist in coordinating resource distribution by providing essential items (hygiene items, laundry soap etc.).
- Remain available to assist clients with questions and requests. Crisis intervention with clients as necessary.
- Provide orientation of new clients to the requirements of the campus and the program. (During Intake Only)
- Help monitor common areas to ensure a clean, safe, and organized environment by conducting weekly walk-through.
- Provide support during emergencies or incidents following agency protocols.
- Assist with dining hall coverage during breakfast lunch, lunch, and dinner.
- Assist with bed rolls for new intakes.
- Assist onsite cleaning vendor with identifying what rooms need cleaning.
- Provide end of shift pass down (swing shift)
- Perform monthly room inspections for various programs.
Safety & Compliance
- Monitor resident movement and ensure adherence to program policies.
- Report concerns incidents or safety issues with supervisory staff immediately.
- Assist with incident report documentation when needed.
- Help maintain secure control of keys, confidential documents, and equipment.
- Oversee facility ensuring that safety precautions are always observed; conducts facility security check regularly during assigned shifts. Submit maintenance requests to supervisor.
- Maintain confidentiality in accordance with established policies and laws in order to help maintain the integrity of the campus.
Team & Agency Support
- Participate in staff meetings, training, and agency events as required.
- Support administrative tasks during special events such as food drives, outreach events, community meetings, etc.
- Collaborate with staff across departments to ensure consistent service delivery.
- Performs other duties as assigned by the manager/supervisor.
Qualifications
- High School Diploma, associate degree preferred
- Prior experience working with homeless population, preferred
- Knowledge of managing client database is a plus!
- Ability to prioritize competing responsibilities and thrive in challenging situations
- Able to change priorities at a moment’s notice
- Must be able to fluently read, write and communicate in English
- Must be able to comfortably, both mentally and physically, perform all aspects of job description and other duties as assigned by supervisor

Physical Requirements:
- Ability to bend and lift light objects
- Ability to sit for extended periods of time while viewing a computer monitor
- Dexterity of hands and fingers to operate a computer keyboard
- Capable of hearing and speaking to exchange information
- Seeing to read reports and data
- Ability to speak English
- Must be able to work in a noisy, busy environment.
