Job Description

Modern Construction and Facilities Maintenance Services (Modern Construction Services, LLC) is a full-service, WBENC-certified company located in Charlotte, NC offering clients regional commercial construction and renovation as well as nationwide 24x7x365 facility maintenance services like electrical repairs, plumbing issue resolution, HVAC maintenance and break-fix, door repairs, and all manner of emergency repairs.

We are hiring a proactive and detail-oriented professional to join our Vendor Management Department in support of clients across the country as a Vendor Sourcing Coordinator (aka Vendor Sourcing Specialist).

Vendor Coordinators play a critical role in supporting our growing company by ensuring our clients receive dependable service as we expand and onboard new accounts. In this position you will help us manage a nationwide network of vendors, tradespeople, and contractors, quickly sourcing the right professionals, whether we require a new electrician in a major city or a plumber in a small town, while balancing speed, quality, and construction compliance requirements.

The ideal candidate thrives in a fast-paced environment, has attention to detail, excels at quickly locating high quality subcontractors, and is highly organized.

The rate of pay is $25.00/hour, and the position is full-time, hourly, non-exempt, and is eligible for overtime pay.

This position is in-office (the location is 5900 Harris Technology Blvd., Charlotte, NC 28269) and is not remote (work from home).

Requirements

Job Functions:

  • Identify and recruit qualified subcontractors and vendors through online research, networking, and outbound communication.
  • Collaborate with internal project managers and company management to prioritize vendor needs based on client and geographic requirements.
  • Make hundreds of outbound phone calls daily to communicate with both existing subcontractors in our nationwide network as well as to recruit new candidate vendors to join our network.
  • Compare candidate subcontractors by evaluating vendor qualifications including licensing, insurance, tax documentation, price rates, and service availability.
  • Manage the vendor onboarding process, including application review, document collection, and submission for approval.
  • Maintain accurate vendor data in our work order and vendor management software systems (e.g. FEXA).
  • Foster strong relationships with subcontractors and vendors.
  • Ensure all vendor documentation (COIs, W9s, certifications) is current and compliant with company standards.
  • Coordinate daily with multiple departments to ensure seamless vendor integration and service delivery.
  • Utilize technology like software applications on company provided laptop & smartphone to manage tasks and access systems.

Skills Required:

  • Experience vendor sourcing and subcontractor recruiting, preferably in facilities maintenance or a directly related construction field.
  • Strong communication skills (email/written, phone/verbal, in-person) and detail-oriented organizational skills.
  • Proficiency with vendor management software systems and/or CRMs.
  • Ability to multitask and manage multiple priorities across departments.

Preferred:

  • Experience with batch data interpretation and analysis using Microsoft Excel (or Google Sheets) is a plus.
  • Knowledge of construction compliance requirements (COI, W9, licensing) is a plus.
