Vendor Relationship Coordinator

Hybrid work model – 4 days/week in the office

Permanent/Full-Time Position

Reporting to the Business Partner Relationship Manager,thisrole supports multiple stages of the productdevelopmentlifecycle, includingpurchasing, invoicing, SKU creation, marketresearch, and vendor communication.

This position isresponsible for creating, tracking, and managingpurchaseorders (POs) to ensureproducts are deliveredaccurately, on time, and in line with expectations—workingcloselywith Product Development, Logistics, Finance, and Warehouse teams The ideal candidate isdetail-oriented, highlyorganized, and thrives in a fast-pacedenvironmentthat values precision, accountability, and proactive communication.

Roles and Responsibilities

  • Creates, issues, and maintains all merchandise purchaseorders (POs) in alignmentwithproductdevelopment timelines, vendor production schedules, and show requirements

  • Tracks and updates PO statusesregularly, ensuring all key details, such as quantities, ship dates, costs, and approvals, are accurate and up to date.

  • CreatesSKUs and POs for all new products and managereorderPOs as needed

  • Monitorsorderprogress and proactivelyaddressanydelays, shortages, or discrepancies

  • Acts as the primary liaison with the Logistics and Warehouse teams to coordinate inbound and outboundshipments

  • Ensures all goods are shipped, received, and deliveredaccording to PO requirements, timelines, and quality standards.

  • Manages the full payables process related to each PO, including down paymentrequests, invoice validation, and paymenttracking

  • Partnerswith the Planning team to monitor inventorylevels and coordinatereorders to preventstockouts or overstock situations.

  • Communicatesregularlywithvendors and internal stakeholders to confirm production progress, shipment timelines, and productquality expectations.

  • Maintains master trackers for POs, vendors, shipments, and payments, ensuring consistent reportingaccuracy

  • Supports store openings and merchandise launches by ensuringproducts arrive complete, correctlylabeled, and on schedule

  • All otherdutiesassigned

Qualifications and Experience

  • Associatesdegree in Business, Merchandising, Supply Chain Management, or a relatedfield, or on the job/workequivalentexperience

  • Minimum of 3-5 years in traditional and/or non-traditionalretailoutlets, preferably in the entertainmentindustry

  • Ability to work in a fast-paced, dynamicenvironment and adapt to changingmarket conditions

  • Time management skills and ability to prioritizetaskseffectively

  • Knowledge of ethicalsourcing and sustainable practices is a plus

  • Strong attention to detail and robustorganizationalskills

  • Knowledge of all MS Office and Adobe Productsis an asset
