Mitsubishi Heavy Industries America, Inc. (MHIA) is looking for a Vendor Qualification & Compliance Manager to join our team. This is a hybrid role based out of our Carrollton, TX office.

SCOPE:

The Vendor Qualification & Compliance Manager leads end-to-end vendor registration, qualification, and onboarding for chiller products and data center cooling solutions for hyperscalers, colocation providers, design firms, and general contractors. Acting as the central driver and coordinator, the role integrates cross-functional and cross-regional stakeholders, such as the US and Japan, to ensure a complement of all vendor qualification activities required for customer approval. The scope spans product compliance (UL/ETL/NRTL, ASHRAE/AHRI), Quality/EHS, cybersecurity, export control, insurance, tax, and legal requirements. By removing qualification and approval bottlenecks, the role enables timely participation in the RFI/RFP process while ensuring alignment between U.S.-based teams and Japan-based manufacturing and engineering organizations.

The ideal candidate will have a minimum of seven (7) years of experience in vendor registration, supplier qualification, or onboarding in B2B manufacturing or industrial sectors.

JOB RESPONSIBILITIES:

  • Lead full vendor registration process, such as planning, submission, and approval for hyperscalers and design firms for chiller products and data center cooling solutions.
  • Manage account-level priorities, monthly and quarterly milestones, and the critical path to ensure on-time vendor approval.
  • Drive multi-portal operations across hyperscaler, colocation, engineering, procurement, and manufacturing systems to maximize first-pass approvals.
  • Manage pre-assessment questionnaires and conduct gap assessments across tax, insurance, sanctions, export control, cybersecurity, ESG, finance, and supply capability in coordination with U.S. -based teams and Japan -based manufacturing and engineering organizations.
  • Develop corrective action plans with clear owners and timelines and visualize progress via dashboards.
  • Coordinate audits, required evidence, procedures, and test reports; maintain alignment with UL/ETL/NRTL requirements and products or design changes with U.S. and Japan teams.
  • Operate annual renewal calendars (tax, COI, contracts, compliance), ensuring zero lapses and continued approved-vendor status.
  • Align onboarding with Sales tender timelines; coordinate cross-functionally with Engineering, Manufacturing, Quality, Legal, Finance, EHS, IT/Cyber, and Supply Chain.
  • Lead final document reviews and version management to ensure accuracy, consistency, and audit readiness.
  • Develop SOPs, checklists, and RACIs, and deliver internal training to standardize the vendor registration process and reduce cycle time.
  • Visualize approval lead times, rejection reasons, renewal schedules, and overall status to support continuous improvement and management reporting.

MINIMUM REQUIRED QUALIFICATIONS:

  • Education: Bachelor’s degree in engineering, quality assurance, or business administration required or equivalent combination of professional experience
  • Experience: Minimum of seven (7) years of experience in vendor registration, supplier qualification, or onboarding in B2B manufacturing or industrial sectors.
  • Experience in centrifugal chillers and facilities, and data center cooling systems.
  • Knowledge of North American tax, insurance, and regulatory and commercial compliance.
  • Hands-on experience with customer portal operations and structured documentation management.
  • Strong cross-functional project management skills and high accuracy in documentation and document/version control.
  • Negotiation skills for customer-facing qualification and alignment related to vendor approval and order readiness.
  • Ability to effectively collaborate and communicate with Japan -based manufacturing, engineering, and quality stakeholders.

PREFERRED QUALIFICATIONS:

  • Master’s degree preferred.
  • Vendor approval achievements with major hyperscalers or top-tier colocation providers.
  • Foundational knowledge of UL/ETL/NRTL and ASHRAE/AHRI as applied to chiller products and data center cooling systems.
  • Experience with ISO 9001/14001/45001, supplier qualification frameworks, and SIG/CAIQ.
  • Experience with audits, questionnaires (e.g., SIG/CAIQ), and compliance-driven onboarding for critical equipment or infrastructure vendors.
  • Relevant certifications in quality, compliance, insurance, or export control are preferred.
  • Training or experience with onboarding, audits, or UL certification for industrial or critical equipment is a plus.

WORKING CONDITIONS:

  • Travel %: 25%
  • Standard Monday through Friday work week. Weekend/late-night work if applicable.
  • Lifting/physical requirements: Regularly required to sit for long periods, stand, walk, talk, and/or hear. Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds
