RELATIONSHIP
The Vendor Management Specialist reports directly to the Accounts Payable Manager.

PURPOSE
The Vendor Management Specialist is responsible for administering the company’s vendor onboarding and maintenance process through Yardi VendorCafe. This role ensures vendors are properly set up, compliant, and maintained in accordance with company policies and internal controls.

PRINCIPLE DUTIES AND RESPONSIBILITIES

▪ Manage vendor onboarding, updates, and maintenance in VendorCafe and ERP systems
▪ Review and validate vendor documentation including W-9s, insurance certificates, and banking information
▪ Coordinate insurance compliance review and follow-up on expiring documentation
▪ Partner with Treasury on ACH/banking verification and fraud prevention controls
▪ Support Procurement with vendor setup requests and credit application processing
▪ Maintain accurate vendor master data and audit-ready documentation
▪ Ensure compliance with internal controls, approval workflows, and segregation of duties
▪ Respond to vendor and internal stakeholder inquiries related to onboarding and vendor records

QUALIFCATIONS

▪ 2+ years of Accounts Payable or vendor management experience
▪ Experience with vendor onboarding platforms and ERP systems; Yardi experience preferred
▪ Strong attention to detail and organizational skills
▪ Knowledge of AP controls, tax documentation, and vendor compliance processes
▪ Ability to work cross-functionally with Procurement, Treasury, and operational teams
▪ Demonstrates good communication skills, both written and oral
▪ Communicates effectively with supervisor, co-workers, and customers
▪ Demonstrates proficiency in basic computer skills, including Outlook and Excel
▪ Ability to work in a fast-paced environment

EDUCATION/EXPERIENCE/LICENSURE- CERTIFICATICATION
▪ Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
