Job Description

What You’ll Do

The Validation & Compliance Supervisor plays a key role in the operations of Fedcap Canada, with primary responsibility for overseeing the validation of jobseeker supports and performance milestones submissions to ensure full compliance with funder requirements, internal policies, and government regulations. Working under the guidance of the Program Performance & Tactical Operations (PPTOS) Regional Manager, this role ensures accuracy and integrity in validations & compliance-related activities, supports internal and external audits, and contributes to operational performance reporting.

Your Responsibilities Will Include:

Validations & Compliance Oversight

  • Supervise the review and validation of jobseeker supports and performance milestones in accordance with funder and organizational policies, ensuring 95%+ accuracy by month end and 100% by contract year end.

  • Oversee jobseeker supports and performance milestones submissions, maintaining 100% on-time compliance with funder guidelines and program requirements.

  • Oversee data quality and operational accuracy, ensuring 98% of identified discrepancies are addressed monthly and corrective measures are implemented to reduce recurrence.

  • Communicate regularly with operational staff and Service Provider network to address transactional inquiries, resolving 95% of inquiries within 3 business days.

  • Track and review funder guideline updates, ensuring 100% implementation of updated policies and procedures across relevant workflows.

Performance Analysis & Reporting

  • Develop, maintain, and disburse monthly Service Provider (SP) reports, generating, checking, and submitting them within 10 business days of month start.
  • Perform and review routine checks on reporting data for consistency and completeness, achieving a 100% audit readiness score in quarterly internal QA reviews.
  • Communicate regularly with operational staff and SPs to address performance reporting inquiries and resolve discrepancies, supporting a quarterly ministry audit review acceptance rate of 98%+.

Process Management & Quality Control

  • Monitor team adherence to compliance procedures, ensuring 100% alignment with funder guidelines and contract requirements.
  • Recommend and implement at least one actionable improvement per quarter to streamline validations, submissions, and reporting workflows.
  • Ensure confidentiality and accuracy of sensitive data related to program participants, funding, and compliance audits, maintaining a 100% compliance record in funder-required submissions.
  • Communicate and coordinate with Systems teams on data quality, technical issues, and system updates to strengthen data integrity and operational accuracy.

Supervision

  • Assign and monitor daily work of reporting staff, ensuring 100% of team members receive monthly feedback and a formal quarterly review.
  • Provide coaching, performance evaluations, and participate in the hiring and onboarding of new team members.
  • Promote a culture of accountability, continuous improvement, and audit-ready data integrity across all team workflows.

  • A bachelor’s degree in public administration, Business, Compliance, Social Services, or a related field reqis is the the the month'smilestonemonth-endyear-endmilestonethat the Service Provider network to address transactional inquiries, resolving 95% uired.
  • 3 years of experience in program compliance, contract validation, audit preparation, or regulatory oversight—preferably in a public sector or nonprofit setting.
  • Exposure and some experience supervising staff, including responsibility for assigning work, and overseeing the quality of deliverables.

  • Demonstrated experience supporting audits and implementing regulatory or policy updates.

  • Familiarity with workforce development programs, jobseeker supports, or human services preferred.
  • Proficiency in Microsoft Excel, including use of formulas, filters, and validation tools.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook).
  • Experience with case management, ERP, or compliance tracking systems.
  • The ability to interpret regulations and translate them into operational procedures.

Compensation:

$62,000 - $75,000 (CAD)
