Job Description:
Job Duck is seeking a bilingual Legal Assistant and Client Intake Specialist to support a growing law firm focused on federal civil rights matters. This position offers the opportunity to make a meaningful impact by serving as an important first point of contact for prospective clients while also providing valuable legal support to the attorneys and broader team. The ideal candidate will be comfortable conducting detailed intake conversations, identifying relevant information, and preparing clear and concise legal documentation. This role is well suited for a thoughtful, organized, and compassionate professional who can communicate confidently with individuals experiencing challenging circumstances while maintaining accuracy, professionalism, and confidentiality.
Monthly Compensation: 1,150 to 1,220 USD
Responsibilities include, but are not limited to:
- Communicate professionally, compassionately, and respectfully with prospective clients, including individuals experiencing significant loss or difficult circumstances.
- Accurately document information obtained during intake calls and maintain organized records.
- Conduct detailed intake conversations to gather relevant information regarding prospective matters.
- Take on additional legal support responsibilities as knowledge of the firm and its processes develops.
- Assist with document preparation, editing, formatting, and manipulation.
- Learn and work independently with additional business software and document management systems.
- Maintain a high level of accuracy and confidentiality when handling client and case information.
- Support attorneys and the legal team with additional legal projects as required.
- Assist attorneys with general legal and administrative support.
- Organize and maintain case related information and documentation.
- Apply critical thinking to organize information and identify matters that may warrant further attorney review.
- Ask appropriate follow up questions to identify important facts and details that may not initially be provided by the caller.
- Conduct approximately 5 to 15 initial intake calls with prospective clients per day, with calls generally lasting 20 to 30 minutes.
- Prepare concise legal memos, summaries, and other written materials for attorneys.
- Return calls and conduct follow ups with prospective clients as needed.
- Provide a positive first impression of the firm and ensure prospective clients feel heard and supported.
Requirements:
- Bilingual English and Spanish proficiency required
- Excellent spoken and written English required
- Previous experience in a legal, professional services, client intake, case management, or similar environment preferred
- Legal Assistant, Paralegal, Legal Intake, or Case Management experience preferred
- Familiarity with civil litigation or federal civil rights matters is a plus
- Traditional paralegal experience is not required
- The position requires the ability to transition effectively between client facing intake responsibilities and legal support tasks
- Candidates should be comfortable handling sensitive and confidential information with professionalism and discretion
- Candidates should be comfortable communicating with prospective clients who may have experienced significant loss or difficult circumstances
- Strong overall technology proficiency and the ability to learn new systems independently are required
- Software and tools include Microsoft Outlook, RingCentral, Microsoft SharePoint, Adobe, Adobe Acrobat, and general business and document management systems
