Job Description:

At Job Duck, we are seeking a dedicated and people-focused Bilingual Immigration Intake Specialist to serve as the first point of contact for prospective clients and play a key role in the client intake journey. In this position, you will engage with leads through high volume outbound and inbound communication, guide potential clients through the consultation scheduling process, and maintain accurate records within the firm's CRM. You will also support immigration related intake activities, including application preparation and document management. The ideal candidate is confident on the phone, highly organized, detail-oriented, and passionate about delivering outstanding client experiences while working in a fast-paced legal environment.

  • Monthly Compensation Range: $1,142 to $1,220 USD

Responsibilities include, but are not limited to:

  • Deliver a professional and positive experience throughout the client intake process
  • Support the legal team with administrative intake related tasks as needed
  • Ensure all client interactions are documented appropriately
  • Coordinate appointment availability and maintain calendar accuracy
  • Communicate with prospective clients regarding services, consultations, and next steps
  • Maintain confidentiality of sensitive client information
  • Follow all firm intake procedures and lead management protocols
  • Gather, organize, and review client information for intake purposes
  • Schedule consultations and appointments for prospective clients
  • Assist with immigration application preparation and related documentation
  • Conduct follow up activities with leads to maximize consultation attendance and conversion opportunities
  • Enter, update, and maintain accurate lead information within the CRM
  • Respond to and qualify incoming leads professionally and efficiently
  • Make approximately 60 or more outbound calls per day to prospective clients

Requirements:

Bilingual proficiency in English and Spanish is required

  • Immigration law experience is required
  • Previous experience in a legal environment is strongly preferred
  • Experience as an Intake Specialist, Legal Intake Specialist, Receptionist, Front Desk Representative, or similar client facing role is preferred
  • Experience assisting with immigration applications and legal documentation is highly preferred
  • Comfortable making and receiving a high volume of calls daily, with a primary focus on outbound communication
  • Strong ability to follow established CRM processes and lead management procedures
  • Excellent verbal and written communication skills
  • Work Schedule: 9:00 AM - 6:00 PM. Monday through Friday
  • Time Zone: CST
  • Software and Tools: CRM systems, VoIP platforms, email platforms, calendar management tools
  • Ability to multitask, prioritize responsibilities, and maintain attention to detail in a fast-paced environment
