WE OFFER: 

  • Compensation: $22.50 hourly fixed rate.

  • Work Schedule: Monday - Friday, 9:00 AM – 6:00 PM PST.

As a Utilization Coordinator, you will support daily healthcare operations by managing client scheduling, authorization tracking, caregiver communication, and high-volume data entry. This role plays a key part in ensuring services are accurately scheduled, authorizations are properly utilized, and operational issues are resolved quickly and effectively.

This is a detail-driven and evolving role within a growing team. Responsibilities may shift as operational needs develop, requiring strong adaptability, accuracy, and sound judgment in day-to-day decision-making.

WHAT YOU WILL DO:

  • Scheduling & Data Entry Management: Enter, update, and maintain visit schedules, service codes, and authorization details in MatrixCare with a high level of accuracy and timeliness
  • Caregiver Support & Issue Resolution Contact caregivers to resolve missed clock-outs, scheduling discrepancies, GPS issues, and visit-related concerns prior to payroll deadlines
  • Authorization Monitoring & Utilization Support Track client authorizations, support proper utilization of approved hours, and help identify and resolve under- or over-utilization issues
  • Client & Caregiver Communication: Respond to scheduling, service, and authorization inquiries in a timely, professional, and solutions-focused manner
  • Reporting & Documentation: Run, review, and maintain operational reports related to visits, scheduling accuracy, and authorization usage
  • Operational Support & Flexibility: Support a growing team by adapting to shifting priorities, assisting during high-volume periods, and contributing to process improvements as responsibilities evolve

Qualifications

MUST HAVE: 

  • Education High school diploma
  • Language Skills Bilingual (Fluent English and Spanish)
  • Data Entry & Systems Proficiency: Strong ability to perform high-volume, accurate data entry while navigating multiple systems, including MatrixCare, Outlook, Google Sheets, and Teams
  • Microsoft 365 & Data Skills Proficiency in Excel, Word, PowerPoint, Teams, and SharePoint, with the ability to organize, interpret, and translate data into actionable insights

NICE TO HAVE: 

  • Industry Experience: Experience in healthcare operations, scheduling coordination, caregiver support, or similar service-based environments
  • High-Volume Support Experience: Experience in fast-paced environments handling approximately 100–200 daily tasks, such as scheduling, call center, customer service, or administrative support
  • Systems & Authorization Experience Experience with scheduling or healthcare systems (e.g., MatrixCare or similar platforms) and exposure to authorization tracking, utilization management, or service coordination processes
