Job Description
You will leverage strong communication, problem-solving, and vendor management skills to manage the utility account lifecycle while auditing billing errors and resolving account exceptions. In this role, you will lead phone and email correspondence with utility providers to investigate data discrepancies, resolve complex system variances, and provide key assistance with creating client budgets. Serving as a key liaison, you will coordinate directly with external vendors and work closely with internal teams to ensure all transactions run smoothly.
Responsibilities
As a Utility Coordinator on the Peak Team, you will:
- Communicate & Advocate: Initiate phone calls and email correspondences with utility vendors to expedite applications, navigate phone systems, and resolve account issues.
- Audit & Exception Resolution: Investigate, diagnose, and resolve flagged billing exceptions and technical errors, pulling vendor data to clear operational hurdles and guarantee data integrity.
- Budgetary & Variance Assistance: Provide critical analytical support by reviewing historical usage, tracking rate changes, and performing variance analysis to assist in client utility forecasting and budget management.
- Account Lifecycle Management: Plan, execute, and streamline workflows to open, transition, and close utility accounts on behalf of diverse portfolios, minimizing operational delays.
- Gather & Verify: Proactively connect with clients and external vendors to request, collect, and verify clarifying documentation or missing data needed to advance applications.
- Workspace Optimization: Independently operate your daily desk, manage your personal queue effectively, and consistently hit operational deadlines with minimal oversight.
Qualifications
Qualifications and Preferred Skills
- Education & Experience: Associate’s degree in Mathematics, Energy, Finance, Business, or a related field; OR equivalent hands-on experience (typically 5+ years) managing operational exceptions, vendor relations, or financial forecasting portfolios in a fast-paced environment.
- Elite Verbal Communication: A natural comfort on the phone. You are polite, professional, articulate, and undeterred by long hold times or repetitive conversations with utility providers.
- Multitasking Excellence: A strong ability to track multiple moving parts across various providers and stay organized without dropping critical details.
- Basic Spreadsheet Proficiency: Solid foundations in Google Sheets and Microsoft Excel. You should be comfortable inputting data, sorting rows, using basic filters, and maintaining clean tracking records.
- High Moldability & Adaptability: An eager willingness to absorb new company procedures, take constructive feedback, and adapt your routine fluidly as project volumes shift. No prior utility industry experience is required.
- Strong Problem-Solving Instincts: An analytical eye when reviewing client account histories, exception lists, or invoices to catch errors and resolve conflicting details.
