Job Description

We are seeking a detail-oriented and analytical Accounts Payable Utilities Specialist to manage utility invoice processing, utility account administration, and energy reporting activities across a portfolio of properties. The ideal candidate has experience with utility bill auditing using advanced Excel skills, accounts payable processes, and ENERGY STAR Portfolio Manager for monthly Utility reporting. This role serves as a key liaison between utility providers, property management teams, accounting staff, and to ensure accurate utility expense management, timely payments, and compliance with energy benchmarking requirements.

Key Responsibilities:

ENERGY STAR Portfolio Manager Reporting

  • Manage and maintain building profiles within ENERGY STAR Portfolio Manager website.
  • Enter, verify, and validate utility consumption data and building characteristics.
  • Monitor data quality and resolve reporting discrepancies.
  • Support annual benchmarking and compliance reporting requirements.
  • Generate ENERGY STAR performance reports, metrics, and scorecards.
  • Assist with sustainability initiatives (Solar Power) and energy performance tracking.

Accounts’ Payable & Utility Invoice Management

  • Process high-volume utility invoices, including electricity, water, sewer, gas, and waste services.
  • Verify invoice accuracy and ensure proper coding and allocation to the property, departments, and cost centers.
  • Research and resolve billing discrepancies.
  • Prepare Weekly utility expenses and consumption reports using Excel
  • Identify unusual utility usage patterns and billing anomalies.
  • Assist with audits and provide documentation as requested.
  • Maintain utility vendor records and account information, using Excel
  • Maintain accurate utility account databases and property records using Excel.
  • Ensure timely payment of utility invoices using Yardi 7S software to avoid late fees or service interruptions.
  • Reconcile utility expenses and support month-end accounting activities.
  • Track utility account openings, closings, transfers, and service changes.
  • Collect, validate, and organize utility consumption data from multiple sources.
  • Generate utility usage and cost reports for management review.

Requirements

Qualifications:

  • Associate's degree in Accounts Payable, Accounting, Finance, Business Administration, or related field; equivalent experience considered.
  • 2+ years’ Experience processing Utility Invoices and managing utility accounts: Electric, Water/Sewer, and Gas
  • Hands-on experience with ENERGY STAR Portfolio Manager
  • Strong Microsoft Excel skills, including advanced formulas (e.g., VLOOKUP/XLOOKUP, INDEX-MATCH, SUMIF, IFERROR), sorting and filtering large data sets, and performing data analysis to support reporting and decision-making.
  • Excellent attention to detail and organizational skills.
  • Experience with utility expense reconciliation
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Experience supporting commercial real estate or multifamily housing using Yardi 7S Software
  • Knowledge of utility billing structures, starting and stopping services.
  • Familiarity with Solar Reporting or Energy management programs.
