Job Description

The U.S. Repowering Administrative Assistant provides high-level administrative and operational support to the Senior Vice President and Asset Optimization Team. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. This position serves as a trusted partner, supporting executive communications, presentations, procurement activities, reporting, and document management, including notary services.

Key Responsibilities

  • Coordinate project meetings, prepare agendas, record meeting minutes, and track action items.
  • Maintain confidential records and handle sensitive information with professionalism and discretion.
  • Assist with special projects and strategic initiatives as assigned.
  • Create, edit, and format professional PowerPoint presentations for executive meetings, board presentations, business reviews, and external stakeholders.
  • Gather and organize data, charts, graphics, and content to produce high-quality presentations.
  • Ensure consistency with company branding and communication standards.
  • Prepare recurring and ad hoc reports, dashboards, and executive summaries.
  • Collect, analyze, and organize information from multiple departments to support leadership decision-making.
  • Track key performance indicators and assist with preparation of management reports.
  • Coordinate with vendors and internal stakeholders regarding procurement activities.
  • Monitor purchase order status, invoices, and budget tracking.
  • Maintain procurement records and ensure compliance with company policies and procedures.
  • Serve as a commissioned Notary Public and notarize business documents as required.
  • Coordinate department events and meetings.
  • Support department budget tracking and reporting.
  • Provide administrative support to project managers, engineers, and site leadership involved in hydroelectric repowering projects.
  • Maintain project files, correspondence, schedules, and records in accordance with company document control requirements.
  • Assist with project reporting, presentations, and status updates.
  • Organize and maintain engineering drawings, specifications, contracts, permits, and project records.
  • Compile information for regulatory reporting and audits.

Qualifications

Education

  • Associate's degree in Business Administration, Office Management, Project Administration, or a related field preferred.
  • Equivalent combination of education and experience will be considered.

Experience

  • 3+ years of administrative support experience, preferably in construction, engineering, utilities, energy, or industrial environments.
  • Experience supporting capital projects is preferred.
  • Familiarity with document control processes is highly desirable.

Skills and Competencies

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, Sharepoint, One Drive and Teams.
  • Ability to manage confidential and sensitive information.
  • Strong attention to detail and accuracy.
  • Ability to work independently and collaborate with cross-functional teams

Salary Range: $75,000 - $90,000 per year (commensurate with experience)
