Our continued growth across NSW and ACT has created an exciting opportunity for an experienced and highly organised Operations Coordinator to join our Urgent Care team.

About the Role

The NSW – Urgent Care Clinic Operations Coordinator plays a critical role in supporting the efficient and effective operation of Urgent Care Clinics (UCC) and Urgent Care Services (UCS) across NSW and ACT.

Reporting in to the Urgent Care Workforce Lead, the role encompasses coordinating GP locum rostering, onboarding, workforce planning, and invoice management to ensure seamless operational support across multiple urgent care locations. Working within a fast-paced healthcare environment, you will bring strong organisational capability, adaptability, and the ability to manage competing priorities while maintaining exceptional attention to detail.

Key Responsibilities

Rostering & Workforce Coordination

Coordinate rostering requirements in collaboration with Regional Managers, Practice Managers, GP Recruiters, and the National Urgent Care team

Develop and maintain an efficient, user-friendly rostering system that provides visibility of workforce gaps and recruitment needs across NSW and ACT

Monitor roster coverage to ensure operational and staffing requirements are consistently met

Proactively identify and resolve roster conflicts, gaps, and urgent shift coverage requirements

Manage shift change requests, leave requests, and on-call rosters during holiday periods

Continuously review and improve rostering processes based on operational feedback and workforce trends

Provide regular roster performance and staffing availability reports to the General Manager NSW/ACT

Workforce Planning & Forecasting

Analyse historical data and operational trends to forecast future staffing requirements

Support workforce planning initiatives relating to clinic growth, operating hour expansion, seasonal demand, and service changes

Collaborate with recruitment and operational teams to anticipate staffing challenges and implement contingency plans

Support continuity of care during periods of increased patient demand or unexpected absences

Urgent Care Locum Onboarding

Coordinate onboarding of GP locums across all NSW and ACT Urgent Care Clinics and systems

Arrange travel and accommodation requirements for urgent or ad-hoc locum coverage

Compliance & Operational Support

Ensure rostering practices comply with relevant workplace legislation, organisational policies, and industry standards

Support the development and implementation of rostering policies, procedures, and compliance frameworks

Conduct audits and maintain accurate workforce documentation and reporting

Provide guidance and support to stakeholders on rostering processes and compliance requirements

About You

To be successful in this role, you will bring:

Proven experience in rostering coordination, workforce planning, or healthcare operations

Previous experience within a healthcare, primary care, or urgent care environment highly regarded

Strong organisational and time-management skills with exceptional attention to detail

Excellent communication and stakeholder management skills

The ability to manage competing priorities in a fast-paced and evolving environment

Sound understanding of workforce compliance, labour regulations, and operational processes

A proactive, adaptable, and solutions-focused mindset

Minimum 5 years’ experience within general practice, healthcare administration, or a related healthcare operations environment
