UPS Coordinator
The University Placement Services (UPS) Coordinator is responsible for managing and executing all aspects of the UPS program, serving as a key liaison between students, internal teams, and partner universities. This high-impact role guides students through the university placement journey from initial inquiry to enrollment, ensuring a seamless and supportive experience.
Key Responsibilities
Student Advising and Application Management
Serve as the primary point of contact for UPS students, providing comprehensive advising on university selection, placement options, and academic pathways aligned with students’ goals, qualifications, and preferences.
Guide students through the full UPS journey, from initial inquiry to enrollment.
Prepare, review, and submit applications to partner universities on behalf of students, ensuring all materials meet institutional requirements and deadlines.
Collect, verify, and organize all required documentation, including transcripts, test scores, personal statements, and financial documents.
Maintain consistent communication with students regarding application status, offers, and next steps.
Follow up with prospective students generated through sales teams, KI schools, and agent partners, and support their progression through the pipeline.
Coordination and Communication
Manage UPS inbox and respond to inquiries from students, advisors, and partners in a timely manner.
Act as liaison between students, KI schools, sales teams, and partner universities to
facilitate smooth communication.
Respond to university-related questions from internal and external stakeholders.
Track incoming UPS students weekly and notify School Directors and UPS Advisors of arrivals and conditional admission placements.
Data Management and Tracking
Track and report on UPS student pipeline, including inquiries, applications, offers, and
enrollments.
Maintain accurate and up-to-date student records in CRM systems.
Ensure university profiles, entry requirements, and program information are current in the UPS database.
Monitor application outcomes and student progression to partner institutions.
Partnership and Commission Management
Review and reconcile commission reports on a weekly and monthly basis.
Track commission timelines and ensure accurate invoicing to partner universities.
Support strong relationships with partner institutions through timely, accurate application submissions and consistent communication.
Training, Events, and Program Support
Support and deliver UPS training for KI schools, advisors, and relevant teams.
Assist in coordinating promotional and recruitment events such as higher education days and college fairs.
Contribute to continuous improvement of UPS processes, tools, and resources.
Other Duties
Perform additional duties and special projects as assigned.
Minimum Qualifications
Bachelor’s degree in a related field.
2–5 years of professional experience in higher education admissions, preferably with international students.
Strong attention to detail and ability to manage complex documentation and processes.
Experience processing or supporting university applications, including familiarity with admission requirements and timelines.
Experience working directly with international students or in a student-facing role.
Ability to work effectively in a multicultural environment with strong cross-cultural communication skills.
Strong organizational, communication, and problem-solving skills.
Proficiency with CRM systems and Microsoft Office tools.
Demonstrated interest in international education; experience studying, living, or working
abroad preferred.
Preferred Qualifications
Knowledge of international credential evaluation practices.
Familiarity with U.S. immigration regulations (F-1 visa).
Prior experience working with education agents or global recruitment partners.
Foreign language proficiency relevant to assigned recruitment regions.
*An equivalent degree abroad or acceptable experience in lieu of education: two years of experience for every year of formal education required
