Essential duties and responsibilities include, but are not limited to:
- Operates the consolidated mailroom in accordance with all governing postal regulations, including DoD 4525.6‑M, USPS standards, and installation‑level policies.
- Controls the efficient flow of all categories of mail—prograde, retrograde, directory service, IDS, and express mail—from receipt through final distribution to meet customer and regulatory requirements.
- Ensures customer service, accuracy, and timeliness objectives are met while supporting postal operations and command requirements.
- Processes, sorts, handles, and distributes incoming and outgoing mail for all authorized customers.
- Maintains accountability for all mail received, ensuring proper chain‑of‑custody, documentation, and secure storage at all times.
- Verifies customer identity and authorization prior to releasing mail, ensuring compliance with postal security requirements.
- Handles special categories of mail—including Casualty mail, Coalition Partner mail, Contaminated/Suspicious mail, and Absentee Ballots—in strict accordance with applicable regulations.
- Implements and maintains anti‑tampering procedures to prevent theft, loss, or unauthorized access to mail.
- Ensures the mailroom passes all internal and external postal inspections.
- Maintains required records and documentation in accordance with AR 25‑400‑2 and applicable postal directives.
- Integrates lessons learned from inspections, customer feedback, and regulatory updates to improve mailroom operations.
- Performs additional duties as required to support program requirements.
Qualifications
- Minimum of six (6) months of demonstrated experience within the last three (3) years in a mail handling environment (military or civilian).
- Experience must include sorting, processing, and distributing mail in accordance with postal regulations.
- Must successfully complete a National Agency Check (NAC) and obtain a DD Form 285 (Mail Handler Authorization Card) prior to starting work.
- Ability to work independently in a fast‑paced environment, manage multiple tasks, and meet strict timelines.
- Strong verbal and written communication skills with the ability to interact professionally with customers.
- Ability to maintain accurate records, follow detailed procedures, and comply with all postal security requirements.
- Proficiency with basic office automation tools and ability to maintain logs, rosters, and accountability documents.
Supervisory Responsibilities
- None required for this position.
Security Responsibilities
- Must comply with all DoD, USPS, and company information security and mail protection policies.
- Responsible for safeguarding all mail, ensuring proper classification, handling, and storage.
- Must sign a company non‑disclosure agreement prior to accessing controlled information.
Certificates, Licenses, and Registrations
- DD Form 285 (Mail Handler Authorization Card) required prior to performing mail handling duties.
- Additional postal training or certification may be required based on mission needs.
Reasoning Ability and Mathematical Skills
- Must be able to analyze problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret postal regulations and apply them to daily operations.
- Must be able to calculate basic figures related to mail processing (weights, postage categories, etc.).
Work Environment and Physical Demands
- Work may involve fast‑paced operations, customer interaction, and strict timelines.
- Must be able to lift and/or move up to 50 pounds as required for mail handling.
- Work environment may include extended periods of standing, sorting, and carrying mail containers.
